We’re looking for a highly organised Trade Operations Coordinator to support the day-to-day running of Ridgeline’s wholesale order processing and sales operations. This role sits at the centre of our trade order management, logistics coordination and customer operations, ensuring orders move smoothly from entry through to fulfilment while maintaining a high level of service for our retail partners.
Based at our purpose-designed head office in Rugby, this is an excellent opportunity for someone who enjoys operations, problem-solving and working across multiple teams. The Role
The Trade Operations Coordinator will oversee the day-to-day administration of Ridgeline’s trade order processing and operational workflow. Working closely with Sales, Marketing, Merchandising and Product teams, you’ll ensure trade orders are processed accurately, customer queries are resolved quickly and delivery expectations are met. You’ll also coordinate with warehouse and logistics partners to ensure orders move efficiently through dispatch and fulfilment.
Key Responsibilities
- Order Processing & Operations
- Manage trade sales order entry and processing using ERP/CRM systems.
- Maintain the order book and ensure accurate and efficient order fulfilment.
- Manage high volumes of orders while maintaining exceptional accuracy.
- Trade Customer Support
- Act as a key operational contact for Ridgeline trade partners and account managers.
- Resolve order queries relating to pricing, delivery schedules and stock availability.
- Provide clear communication and updates regarding order status.
- Logistics & Fulfilment
- Liaise with warehouse and 3PL partners to ensure smooth dispatch and delivery.
- Communicate delivery ETAs and resolve fulfilment issues.
- Support stock allocation and order prioritisation where required.
- Reporting & Process Improvement
- Maintain accurate operational data across systems.
- Analyse order data using Excel to support reporting and operational improvements.
- Identify discrepancies and resolve issues within the order workflow.
- Cross-Team Collaboration
- Work closely with Sales, Marketing, Merchandising and Product teams.
- Support operational processes and supervise junior administrative tasks where required.
About You
Essential
- 2–3 years’ experience in order processing, sales administration, or operations coordination.
- Experience working with ERP or CRM systems (SAP, Oracle, Microsoft Dynamics or similar).
- Strong Microsoft Excel skills for reporting and data management.
- Experience managing high volumes of transactions accurately.
- Excellent written and verbal communication skills.
- Strong organisational and problem-solving ability.
Desirable
- Experience supporting wholesale or trade customers.
- Understanding of logistics, dispatch and fulfilment processes.
- Background in supply chain, business administration or operations.
