This is a fully remote position that demands exceptional organizational skills, attention to detail, and the ability to manage competing priorities with calm efficiency. You will work closely with the Chief Legal Officer and Legal Counsel to streamline legal workflows, maintain documentation, and support day-to-day administrative and legal operations.
Key Responsibilities
- Maintain legal filing systems (both digital and physical) with version control and organization in mind
- Calendar and deadline management, including litigation, IP, and business filing timelines
- Assist with document preparation, formatting, proofreading, and editing (NDAs, contracts, discovery responses, etc.)
- Draft basic correspondence, track follow-ups, and manage internal task lists
- Organize and manage spreadsheets and trackers (IP portfolios, contract databases, litigation matters, etc.)
- Support communication with external counsel, vendors, and internal stakeholders
- Handle Slack communications promptly and filter issues for legal triage
- Take meeting notes, summarize action items, and manage legal inboxes
- Research docket updates, state/federal court deadlines, or procedural rules when needed
- Help coordinate signature workflows and document execution (e.g., DocuSign, Adobe Sign)

Required Qualification and Requirements
- Must be able to work on a Central Time Zone schedule
- Highly organized, reliable, and responsive – you keep things from falling through the cracks
- Strong written and verbal communication skills – clear, concise, and professional
- Proficient in Microsoft Word, Excel, Google Docs/Sheets, and Slack
- Comfortable working in a remote environment with minimal supervision
- Strong sense of confidentiality and discretion

- Background or familiarity with U.S. intellectual property law (trademark, copyright, patent)
- Experience in litigation support, docket management, or legal administration
- Prior in-house, law firm, or virtual legal assistant experience
