We are looking for a proactive and highly organised Bid Coordinator to support the smooth running of bid activity in our London office.

This role would suit someone with strong administrative skills, excellent attention to detail, and the ability to keep multiple deadlines and workstreams under control.

You will be responsible for coordinating bid activity across submissions inboxes, procurement portals and internal teams, ensuring opportunities are tracked properly and information is issued promptly.

The role includes maintaining bid trackers, monitoring deadlines and clarifications, supporting bid meetings, coordinating submission documents, and helping teams produce accurate, compliant and well-presented bids.

There is also a requirement to proactively research and monitor relevant procurement portals, framework providers and tender notification systems, maintaining a robust opportunity tracking process to ensure all suitable tender opportunities are identified, logged and communicated to the business.

The successful candidate will take ownership of horizon scanning activities, helping to ensure no relevant opportunities are missed and that potential bids are identified at the earliest possible stage.

A key part of the role is document production, so you will need to be confident using In Design, Word and Power Point to prepare high quality documents and presentations.

You will also support formatting, version control, compliance checks, and the coordination of supporting information such as CVs, case studies and other submission material.

We are looking for someone who is naturally thorough, comfortable taking ownership of administrative processes, and able to chase actions in a professional and constructive way.

You should be able to manage competing priorities, communicate clearly with a range of stakeholders, and take pride in producing documents that are accurate, polished and submission ready.

Just as importantly, you should be the kind of person who notices what needs doing and gets on with it.

  • Strong bid coordination or bid administration experience within a professional services, consultancy, construction or related environment.
  • Proven ability to proactively monitor procurement portals and tender platforms, identifying and tracking opportunities to ensure comprehensive market coverage and no missed bid opportunities.
  • Excellent attention to detail and solid organisational and administrative skills.
  • A proactive approach, with the confidence to follow up actions and keep workstreams moving.
  • Strong document production skills, including the ability to create high quality documents and presentations.
  • Good working knowledge of In Design, Word and Power Point.
  • Previous experience of shared folders, version control, trackers and procurement portals would be helpful, but is not essential
  • Clear and professional communication skills, both written and verbal.
  • The ability to work to tight deadlines while keeping submissions accurate, compliant and well presented.
