Our People Coordinators provide pivotal support to our People Advisory team across the whole employee lifecycle and are fundamental in delivering a fantastic experience for our people. This is a varied role, where you’ll be providing day-to-day support on all people related matters, with a particular focus on ensuring our people processes run smoothly. You’ll be responsible for the end-to-end administration of employee lifecycle changes, the continuous improvement of our processes, and supporting our people with any queries relating to their employment. You’ll work closely with your People Partner, People Advisor and your fellow People Coordinators, on a full range of initiatives, projects and people related activity, as we continue to embed and evolve our People Strategy.

What you need to do to be effective in this role:

  • Act as a first line of support for our people, providing advice and guidance relating to all people activity across the employee lifecycle with a focus on providing exceptional customer service.
  • Advise and support our managers and people on our policies, processes and employment matters, taking time to identify and escalate any opportunities for continuous improvement.
  • Support the design, maintenance and continuous improvement of our administrative processes and systems, to ensure the smooth running of all our people activity.
  • Administer employment changes across the employee lifecycle by processing changes to individual’s circumstances (i.e. producing and sending correspondence, updating the system, notifying internal stakeholders and external providers etc.).
  • Calculate entitlements relating to absence, leavers etc., liaising with our payroll and benefits team where necessary, to provide accurate and timely advice to our managers and people.
  • Proactively keep track of progress against key process touchpoints and send reminders as and when necessary (i.e. absence, probation, leavers, long service etc.).
  • Provide administrative support for our annual salary and bonus review process and any change or transformation activity (i.e. TUPE).
  • Act as a skilled end user of our core People software system, ensuring accurate and timely data input, and produce scheduled and ad hoc management information reports as required.
  • As appropriate and in agreement with your People Partner, provide support with individual cases relating to performance, disciplinary and grievance (producing letters, taking meeting notes, etc.).
  • Manage the People Team inbox, working as part of a team of People Coordinators, escalating queries as necessary.
  • Work as part of a project team on ad hoc people related projects, contributing your insight and expertise to support the delivery of our People Strategy.
  • Work collaboratively with your peers, sharing knowledge and supporting others, to provide effective and efficient support to the business.

The skills and experience you need to have for this role:

  • Previous experience of delivering operational HR support in a fast-paced environment.
  • A working knowledge of transactional HR processes, related legislation and an understanding of how they underpin the entire employee lifecycle.
  • Strong customer service approach, ensuring the delivery of a consistently high quality service experience.
  • Proficiency in using an HRIS system and data reporting.
  • Excellent MS Office skills.
  • Perseverance and resilience – particularly when it would be easier to give up.
  • Fantastic organisational skills in terms of planning, prioritising and meeting deadlines.
  • A real team player, willing to work collaboratively to get the job done.
  • Common sense – creatively solving problems and spotting opportunities to simplify and improve processes to drive better results.
