We are recruiting for an experienced Team Administrator who will be an integral part of our Manchester Office. The successful candidate will need to possess a positive, ‘can-do’ attitude and be enthusiastic to take pride in this key support position. You will be responsible for providing effective and efficient administrative support to the Social Value team. To be considered for this role you will have experience of working in a similar role and demonstrate you are looking for longevity in your next career move. You will be able to provide a high standard of work - attention to detail is paramount as are your verbal and written communication skills. Due to the nature of the role, this is a full-time position based in our offices in 100 Embankment, M3 7FB.
Role And Responsibilities
- Co-ordinate meetings on behalf of the Function Leadership Team, including confirming delegate availability, circulating an agenda, managing room bookings, ensuring the room is equipped with refreshments and essential resources, taking and circulating minutes/actions.
- Manage payments for the Team including raising purchase orders, making on-the-spot purchases, recording, tracking invoices until payment is made and managing the Team’s hotel supplier account.
- Manage communications with internal and external stakeholders regarding payment.
- Provide regular reports on spend from the Team budget.
- Manage team action tracker, holding members of the team accountable to agreed actions and timeframes.
- Manage the team monthly and quarterly meeting.
- Work closely with Senior Leadership Team and Consultants to aid data entry for the team.
- First Responder to all incoming enquiries to the Team inbox, ensuring queries are responded to within a reasonable timeframe.
- Booking travel and accommodation.
- Ordering lunches for meetings and project delivery.
- Assisting with fee letters, reports, formatting, typing for the team.
- Ensure all new submission requests are updated onto the tracker.
- Adding all new submissions to the Team CRM and ensuring it is up to date.
- Run regular reports on the Ridge CRM ensuring compliance standards are met by all team members.
- Updating the Ridge CRM with new stakeholders including new clients and delivery partners.
- Assist in the preparation of reports and presentations on behalf of the Leadership team.
- Assist with administrative tasks relating to national Framework reporting in a timely manner to meet external deadlines.
- Raising invoices and assisting with debt chasing.
- Ensure all Team information on the Ridge intranet is kept up to date.
- Assist in the coordination of events and activities related to our Team initiatives.
- Support with the delivery of Team initiatives in our communities where required.
- Complete quarterly compliance checks to ensure consistency across the function.
- Work closely with the Leadership team, undertaking any activities that may arise as the function grows.
The skills and experience you need to have for this role
- Experience of working in a similar role in a fast-paced office environment.
- Strong attention to detail, with a high level of accuracy in data entry and record-keeping.
- Proficient knowledge and demonstrable experience with all MS Office suite-based software including Outlook, Word, Excel, Teams etc.
- Excellent communication skills & telephone manner.
- Good at problem solving with a ‘get it done’ attitude.
- Excellent time management skills with the ability to prioritise as required by the team.
- Naturally organised with a high attention to detail.
- Strong ability to work independently and a proactive team player who is dedicated to providing solid support.
