We’re recruiting a Club Secretary to help safeguard the long‑term health of Richmond Volleyball Club. A defined, light‑touch governance role focused on decisions, records, and compliance — not running the club day to day.
The Club Secretary plays a vital role in strengthening the foundations that allow Richmond Volleyball Club to serve its community well, both now and in the future. By ensuring that decisions are clearly made, properly recorded, and aligned with the club’s constitution, the role helps the Board operate with confidence, fairness, and continuity. This reduces risk and uncertainty, particularly as volunteers and committee members change over time, and helps ensure that the club remains stable and well run for the people who rely on it.
The role helps embed good governance practices in advance of this transition, ensuring that the club is well prepared to meet future responsibilities and to operate with credibility as a charity. Strong governance directly supports the club’s impact in the community. When meetings are well run and decisions are clear, coaches, team organisers, and other volunteers can focus their time and energy on delivering positive volleyball experiences. This includes providing safe, inclusive, and well‑structured opportunities for people in the local community, as well as sustaining competitive and recreational pathways.
The Club Secretary also plays a key role in supporting transparency and trust. Clear records and orderly procedures help members understand how decisions are made and give confidence that the club is being run in a fair and responsible way. In a community sports setting, this trust is essential to volunteer engagement, parental confidence, and long‑term participation.
Ultimately, this role helps safeguard the long‑term health of Richmond Volleyball Club. By strengthening governance and providing continuity, the Club Secretary contributes to a lasting legacy of a club that is resilient, well governed, and able to continue enriching the lives of players, volunteers, and the wider community for years to come.
What are we looking for?
We are looking for a Club Secretary who brings a calm, thoughtful approach and is comfortable operating at governance level in a volunteer‑led organisation. The most important qualities are judgement, reliability, and clarity of thinking. The Club Secretary needs to be able to distinguish between governance matters and operational detail, helping the governing body focus on the right issues without overcomplicating processes. A methodical approach and good attention to detail are essential, particularly when recording decisions and maintaining key documents.
The role involves working with formal meetings and processes, including preparing agendas, taking clear and accurate minutes, and supporting the orderly conduct of meetings and the AGM. Strong written communication skills are important, as is the ability to capture the substance of discussions succinctly and neutrally. Previous trustee experience is welcome but not required. We are very open to first‑time trustees who bring relevant experience from other settings, such as professional roles involving governance, compliance, administration, or structured decision‑making, or from committee or leadership roles in community or voluntary organisations. Experience of charity governance, sports organisations, or work with young people is helpful but not essential. Candidates do not need to be volleyball players or have prior involvement in the sport to be effective in this role.
Above all, we are looking for someone who values proportionate governance and understands the importance of good order, transparency, and continuity in a community organisation. The role would suit someone motivated by stewardship and long‑term impact, who takes satisfaction in enabling others to deliver positive outcomes. We welcome applications from people of all backgrounds and lived experiences. Support and guidance will be available and we are committed to helping people grow into the role with confidence.
What will you be doing?
The club is strengthening its governance to support this transition in a proportionate and practical way, while remaining volunteer‑led. The governing body is responsible for setting direction, safeguarding the club’s long‑term health, and ensuring decisions are made clearly and in line with the constitution. Day‑to‑day delivery of volleyball activity is led by volunteers through established Divisions. The role brings clarity and discipline to decision‑making, not bureaucracy.
The Club Secretary ensures meetings and the AGM are properly convened, decisions are accurately recorded, and governing documents are kept up to date, providing a strong foundation for the transition to CIO status. Working closely with the Chair and committee, the Club Secretary will work with the Chair to prepare agendas for meetings, the AGM, and any EGMs; ensure clear, concise minutes are kept, recording decisions, actions, and conflicts of interest; maintain the constitution and key governance records; issue formal notices required under the constitution. The Club Secretary will be a full voting member of the Board. This role is important because clear records, orderly meetings, and sound governance are essential to the club’s long‑term sustainability and credibility.
