Richmond Pharmacology are an early phase Clinical Research Organisation (CRO), where we are conducting pioneering early phase healthy participants and patient participant trials. Purpose of the Job

This position is responsible for developing tailored strategies to keep patients engaged and recruit them into clinical trials, focusing on the groups Richmond typically works with. The role involves working alongside different teams to help Richmond remain a leading global recruitment site for its trials, as well as building strong relationships with Patient Identification Centres (PICs), Patient Advocacy Groups (PAGs), and other referral sources to ensure ongoing collaboration and successful recruitment.

Main Duties and Responsibilities

  • Strategy
    • Design patient-centred recruitment strategies using insights from focus groups, studies, and site feedback to improve communication and enrolment while respecting patient perspectives.
    • Deliver recruitment metrics such as referral conversion, site performance, study targets, budgets, and timelines.
    • Use historical epidemiological data and current site information during feasibility to identify clinicians and sites, including internationally.
  • Patient Referral Network Management
    • Set up PIC sites, working closely with R&D departments to prepare and share PIC agreements and ethical approvals.
    • Be the primary liaison with R&D, addressing queries promptly to expedite the setup process.
    • Develop and maintain strong working relationships with the referral network (including NHS collaborators, private partners and patient organisations), ensuring open communication channels, mutual understanding of trial requirements, and alignment on patient eligibility.
    • Serve as the primary point of contact for the referral network—including NHS sites, private partners, and patient organisations—for designated studies, ensuring timely dissemination of study updates, materials, and performance feedback as required.
    • Collaborate effectively with physicians across primary, secondary, and tertiary care, as well as outpatient teams, to facilitate the identification of suitable patients, with particular emphasis on complex or rare disease studies.
    • Oversee and lead the contractual and operational readiness of referral avenues, including PICs and third-party recruitment partners, in preparation for study initiation.
    • Manage PIC contracts and associated referral agreements by coordinating with legal, commercial, and medical teams to ensure comprehensive documentation supporting efficient patient recruitment.
    • Assist in the planning and execution of clinician and team onboarding, training, and feedback sessions at PIC sites, working collaboratively with Richmond's medical team, with an emphasis on best practices for patient recruitment.
    • Partner with medical experts and clinicians to design specialised clinician-led recruitment strategies for conditions requiring clinician endorsement to facilitate patient participation.
    • Foster sustained relationships with stakeholders at referring clinical sites and patient advocacy groups within Richmond’s portfolio of trials, aimed at enhancing collaboration, engagement, and recruitment efficiency across studies.
    • Contribute to the creation and implementation of a referral partner toolkit intended to promote clarity, consistency, and effectiveness in Richmond’s outreach efforts to PIC sites.
  • Patient Recruitment
    • Assist in identifying and evaluating suitable mainstream recruitment strategies, such as using social media, online platforms, and patient advocacy groups, especially for diseases with substantial patient populations.
    • Contribute to Participant Recruitment by offering advice on recruitment strategies and helping with their execution.
  • Reporting
    • Prepare and maintain comprehensive recruitment reports for PIC sites and external stakeholders, as well as internal metrics to monitor recruitment progress across different studies, proactively adjusting outreach strategies based on site data.
    • Present recruitment progress and insights to cross-functional teams and senior stakeholders, identifying challenges and bottlenecks and proposing innovative solutions to address them.
  • Internal Stakeholder Management
    • Work closely with cross-functional teams—such as research physicians, clinical project managers, commercial, clinical operations, medical writing, and marketing—to ensure recruitment strategies align with overall trial objectives.
    • Partner with the marketing team to organise and execute engagement events and initiatives targeting referral sources, like patient identification centres, healthcare organisations, and patient advocacy groups, to build strong relationships and drive recruitment.
    • Contribute to the creation and review of patient-facing materials, consent communications, and informational leaflets for both patients and consultants, collaborating with marketing and medical writing teams to ensure these resources meet best practices in patient and public involvement (PPI).
  • Continuous Improvement
    • Evaluate and implement technology for patient recruitment, including identifying eligible patients and improving recruitment processes.
    • Explore additional uses like enhancing engagement, forecasting bottlenecks, analysing data, and streamlining site feasibility assessments.
    • Provide patient recruitment insights to support Business Development and Continuous Improvement in feasibility planning, study pipeline decisions, and process mapping.
    • Assist with Quality Assurance queries on PIC referral processes and develop materials or procedures to ensure regulatory compliance when needed.

Skills and Experience

  • Prior solid experience of recruiting patients to clinical trials within NHS Trust and/or academia.
  • Strong knowledge of clinical trial regulations, NHS policies, GCP, data protection, and research governance frameworks to ensure compliant and efficient trial PIC set up and referral delivery.
  • Experience of working closely with R&D departments.
  • Prior experience of liaising with NHS clinicians and their clinical team.
