We are seeking a Project Coordinator to join our Policy, Strategy & Economics (PSE) Practice. The PSE Practice delivers strategic, policy-related consultancy services to Governments (e.g. the European Commission and UK Government), international financial institutions (e.g. the World Bank, Asian Development Bank, etc), industry associations and individual companies all over the world. Our consultants work on a wide range of policy topics including climate change, energy, air quality, chemicals, circular economy and transport at the international, national and sub-national levels. This role will support the co-ordination and delivery of projects that vary in scope, scale, complexity and duration, covering the clients and topics referred to above; the role will also contribute to the efficient operation of the Practice. The successful candidate for the Project Co-ordinator role will work in close partnership with consultants and project managers across the whole Practice as well as with colleagues from Ricardo’s Finance team.

Key Responsibilities- Support Project Managers with project administration, including cost tracking, updating project schedules/planners and maintaining accurate records.
- Coordinate small projects independently, ensuring effective delivery and communication.
- Prepare project metrics, status reports, meeting minutes and presentations to support decision-making.
- Assist with administrative activities related to bid and proposal development.
- Liaise with customers, partners/subcontractors and internal teams to ensure smooth project delivery.
- Manage contract initiation and updates, including confirming scope/budget, processing signatures and maintaining internal systems.
- Work with Ricardo’s Procurement team to collect and dispatch the necessary information to work with subcontractors.
- Coordinate closely with Ricardo’s Finance team to ensure timely processing of subcontractor invoices.
- Maintain project documentation and support monthly financial activities such as project forecasting and accrual of subcontractor revenues.
- Oversee project invoicing, including collecting supporting documents, validating submissions and issuing invoices to customers.
- Highly organised, with excellent time-management and administrative capabilities, and the ability to take the initiative when supporting colleagues.
- Strong numerical and analytical skills, with good attention to detail and accuracy.
- Proficient in using the Microsoft Office suite (Excel, Word, PowerPoint), and will ideally have experience of working with business Enterprise Resource Planning (ERP) systems.
- Clear, confident communicator (both verbally and in writing) with effective interpersonal and stakeholder-management skills.
- A proactive self-starter who enjoys problem-solving and supporting others to achieve goals.
- Ability to work collaboratively as part of a team.
- Understanding of project management principles, with the potential to take on project responsibilities.
- Ideally holds (or is working towards) a relevant project management qualification.
