As an Administration Apprentice, you will support the team in managing various customer requests for annual system service visits, emergency call out visits to fault find and resolve and the provision of customer documentation and systems administration. You will ensure Engineer visits are accurately recorded, meet compliance standards and are completed efficiently and accurately.

  • Assist with managing job records for routine service appointments, emergency call out visits and system take over jobs.
  • Learn how to review engineer notes and determine next steps (e.g. quoting, invoicing, rescheduling).
  • Support the completion process for jobs, ensuring all documentation is complete and accurate.
  • Help maintain and update job information in internal systems (Simpro).
  • Liaise with customers regarding job updates and respond to first line queries.
  • Maintenance and update of customer portals.
  • Work with Finance team to support accurate invoicing processes.
  • Support Subcontractor (SSP) process, including tracking and progress completion of jobs.
  • Support raising purchase orders and processing invoices with the Finance team.
  • Review and verify compliance documentation, including health and safety requirements.
  • Assist with setting up recurring invoices and service intervals for new contracts.

Entry Requirements: Interested in building a career in administration and customer service operations. Motivated to develop new skills. Proficient in MS Office packages and are keen to learn new systems, including our job management software - Simpro. You enjoy working as part of a team, communicating with others and solving problems.

Training to be Provided: This is where you'll learn the skills that businesses actually run on. Your apprenticeship training is delivered by Skills for Security, specialists in developing real workplace skills within the fire and security industry. You’ll complete a Level 3 Business Administration apprenticeship, with training delivered remotely, twice a month - no travel, just focused learning that fits around your job.

What you’ll do as part of the programme:

  • Learn how real businesses operate day to day.
  • Build practical administrative, organisational and communication skills.
  • Work on tasks and projects linked to your role.
  • Build evidence from your job to support your learning.
  • Take part in tutor-led sessions via Microsoft Teams.
