Job Overview
We are looking for a highly organised and detail‑focused Administrator to join our busy Finance and Contracts Team. This is an excellent opportunity for someone with strong administrative and numerical skills who enjoys working in a fast‑paced environment and takes pride in producing accurate, high‑quality work. You will play a vital role in supporting the smooth running of our finance functions, including purchasing, billing, financial record management, stock control, and general office administration. You will support the Finance & Contracts Manager and confidently deputise as required, helping to ensure the smooth and efficient running of the department. Working as part of a supportive team, you will help ensure that systems are maintained, records are accurate, and processes are followed efficiently, contributing to the effective delivery of our services.

Duties
- Support the end‑to‑end purchase process, including raising purchase orders and processing invoices
- Manage ordering of goods and services, ensuring value for money and timely delivery
- Assist with billing processes, ensuring invoices are accurate and issued promptly
- Maintain organised and accurate financial filing systems (digital and paper‑based)
- Ensure all finance systems are updated and maintained in line with organisational procedures
- Liaise with contractors and suppliers to obtain quotes, track orders, and resolve queries
- Support the comparison of quotes to ensure cost‑effective purchasing decisions
- Monitor and manage stock levels across the organisation, ensuring adequate supply and accurate records
- Assist with reconciliation tasks and general financial administration as required
- Ensure all work is completed in line with internal controls, policies, and audit requirements
- Supporting with the accurate counting, recording, and banking of monies received by the organisation, maintaining clear audit trails and compliance with financial controls.
- Managing our telecommunication and IT systems and processes.
- Assist with maintenance requests and requisition processes across the organisation, ensuring issues reported, monitored, and resolved in a timely manner.
Essential Requirements
- Strong IT skills, including Microsoft Office – particularly MS Excel proficiency (spreadsheets, formulas).
- Strong administrative skills with excellent organisation and time management.
- At least one year experience in a finance or administrative role.
- Good numerical ability and confidence working with financial data.
- High level of attention to detail and accuracy.
- Ability to manage multiple tasks and meet deadlines.
- Excellent communication skills, both written and verbal.
- Supervisory experience.
- Experience working with finance systems or accounting software.
- Knowledge of purchasing and procurement processes.
- Experience in stock control or inventory management.
- Experience working with external suppliers or contractors.

Working Hours
Monday to Friday, 8.00am - 5.00pm (37.5 hours a week contracted, additional hours as required)
