Overview of the Role

We’re seeking a highly organised and detail‑oriented individual with strong time management skills to support our Operations Department. In this role, you will be responsible for facilitating the release of important legal documents to clients and other firms of solicitors, ensuring all entries meet our high standards of quality and consistency. You will also be responsible for answering queries from both internal stakeholders and external clients, advising them of what legal documentation we may be holding. You’ll play a key role in delivering a five‑star service to our clients by assisting them in any requests related to their important documents. This position is ideal for someone who thrives on time management, compliance, values consistency, and takes pride in supporting operational excellence.

Key Responsibilities - What you have to do:

  • Document Releases: Compliantly release important legal documents to clients and other solicitors. Maintain data integrity and ensure consistent formatting across work completed.
  • Inventory & Spreadsheet Management: Utilise spreadsheets to assess what documentation needs releasing within the required time frames. Ensure all inventories and CRM system entries are updated to reflect any changes or archiving. Ensure all activities align with internal policies and regulatory requirements. Receive and action any incoming post related to document releases in a prompt fashion, whilst ensuring it is all logged appropriately. Manage outgoing mail, ensuring proper packaging and documentation.
  • Client Communication: Receive telephone calls, emails, and physical post, and assist all clients by advising them accurately on what they need to do to request their documents back from us. Ensure compliance with data protection and confidentiality protocols. Ensure accuracy in data entry, document indexing, and inventory management to maintain a high‑quality central data source. Balance multiple tasks and deadlines efficiently, ensuring timely completion of document processing and dispatch. Confidently use Excel for tracking and reporting, Word for documentation, and Outlook for stakeholder communication and scheduling. Operate effectively within structured workflows and compliance protocols, ensuring consistency and reliability across all outputs. Handle sensitive information with discretion, maintaining secure and compliant data practices throughout document lifecycle management. Maintain clear systems for indexing, inventory control, and document storage coordination, supporting operational clarity and traceability. Demonstrate a commitment to delivering a five‑star experience to internal stakeholders, responding promptly and professionally to requests. Identify and resolve discrepancies or logistical challenges in document handling, proactively improving processes where needed. Respond effectively to shifting priorities, urgent requests, or changes in scheduling, maintaining composure and focus under pressure. Communicate clearly and professionally across teams, ensuring alignment and transparency in document‑related workflows. Be comfortable navigating CRM systems and digital filing platforms, with the ability to learn new tools and systems quickly.
