About the Role

We are looking for a Service Desk Administrator to join our busy team based in Clapham, London.

The successful candidate will play a key role in supporting our engineering operations, ensuring engineers are efficiently scheduled and customers receive a professional and responsive service.

This is a varied administrative role suited to someone who is organised, proactive and confident communicating with engineers, customers, contractors and internal teams.

Key Responsibilities

  • Schedule and coordinate engineers across London.
  • Allocate planned maintenance, servicing and reactive jobs to engineers.
  • Manage and update the engineers' daily schedules.
  • Liaise with engineers throughout the day to ensure jobs are completed on time.
  • Contact customers and residents to arrange appointments and access.
  • Manage incoming service requests and allocate jobs appropriately.
  • Monitor outstanding and completed works.
  • Update the service management system with job details and engineer information.
  • Ensure engineers have the correct job information and access details.
  • Follow up outstanding jobs, reports and paperwork.
  • Assist with organising
  • PPM and servicing schedules
  • Communicate changes to engineers and customers promptly.
  • Deal with general customer and service enquiries.
  • Assist with invoicing, purchase orders and general administration where required.
  • Maintain accurate records and filing systems.
  • Produce basic reports and spreadsheets.
  • Support the Service Manager and wider operations team with day-to-day administration.
  • Ensure a high level of customer service is maintained at all times.

About You

The ideal candidate will be

  • Highly organised with excellent attention to detail.
  • Confident communicating by telephone and email.
  • Comfortable working in a busy, fast-paced service environment.
  • Able to prioritise multiple jobs and changing schedules.
  • Proactive and able to solve problems quickly.
  • Computer literate with good knowledge of Microsoft Office, particularly Outlook and Excel.
  • Professional and confident when dealing with customers and engineers.
  • A strong team player who can also work independently.
  • Previous experience within a service desk, scheduling, facilities, maintenance or engineering environment would be highly advantageous.
