We are a growing building services and maintenance company specialising in the design, installation, planned preventative maintenance (PPM), reactive maintenance, and project delivery of mechanical systems across the UK. Our expertise includes district heating networks and mixed-use developments, delivering high-quality engineering solutions from initial design through to ongoing maintenance and support.
Due to continued growth, we are looking for a highly organised and customer-focused Service Desk Administrator to join our operations team.
The Role
As the Service Desk Administrator, you will be the first point of contact for clients requiring maintenance support. You will coordinate engineers, manage reactive and planned maintenance works, and ensure exceptional customer service while supporting the smooth running of our Service Desk. This is a fast-paced role that requires excellent communication skills, strong organisation, and the ability to prioritise multiple tasks.
Key Responsibilities
- Answer incoming telephone calls and emails from clients.
- Log reactive maintenance requests accurately onto the service management system.
- Schedule and coordinate engineers for reactive maintenance and Planned Preventative Maintenance (PPM) visits.
- Monitor engineer attendance and job progress to ensure service level agreements are achieved.
- Raise work orders and allocate jobs to the appropriate engineers and subcontractors.
- Liaise with customers, suppliers and engineers to provide updates on outstanding works.
- Ensure all maintenance documentation is completed and filed correctly.
- Close completed jobs and prepare reports where required.
- Support the Contracts and Operations teams with day-to-day administrative tasks.
- Maintain accurate customer records and asset information.
- Assist with planning maintenance schedules for district heating networks and mechanical building services.
- Deliver excellent customer service at every stage of the maintenance process.
About You
The ideal candidate will have:
- Previous experience in a Service Desk, Helpdesk, Scheduling or Facilities Administration role.
- Excellent organisational and time management skills.
- Strong communication skills, both written and verbal.
- Confidence working in a busy office environment.
- Good IT skills, including Microsoft Office.
- The ability to prioritise workload and remain calm under pressure.
- A proactive attitude with excellent attention to detail.
- Experience within Facilities Management, Mechanical & Electrical, Building Services or Construction would be advantageous but is not essential.
Salary & Benefits
£28,000 - £30,000 per annum, depending on experience. Monday to Friday working hours (37.5-hour week). Early finish every Friday at 4:00pm. 31 days annual leave, including Bank Holidays.
