About the role:
As a Service Coordinator, you'll play a key role in supporting the successful delivery of our electrical, mechanical and fabric divisions deliver planned and reactive maintenance. You'll be the link between the service manager, engineers, service team and clients, ensuring that procurement, schedules, documentation and communication all run smoothly and to a high standard. This is a fast-paced role that demands organisation, initiative and attention to detail. It's ideal for someone who thrives in a supportive but hands-on role, enjoys problem-solving, and wants to grow within a business that's scaling rapidly.
Responsibilities:
- Support the delivery of planned and reactive maintenance
- Schedule and confirm site visits, PPM's, reactive works, parts orders etc
- Prepare job packs, RAMS, permits and compliance documentation
- Monitor project progress, flag risks or delays and support resolution
- Maintain accurate, well-organised records and project files
- Raise purchase orders and track material deliveries
- Liaise with suppliers, subcontractors, engineers and clients to coordinate logistics
- Ensure all procurement is aligned with project schedules and budgets
- Ensure consistent use of handover and pre-start checklists
- Track and file compliance documentation including commissioning certs and O&M content
- Support invoice prep, variation tracking and cost reporting
Requirements:
- Previous experience in a Coordination, Planning or Admin role
- Experience in HVAC, construction, M&E, or technical project delivery environments (preferred but not essential)
- Comfortable working in a growing, fast-paced business
- Proficient in Excel, Google Sheets, and project management tools
- Familiarity with systems such as JobLogic, SimPRO or similar (preferred but not essential)
- Understanding of health & safety and compliance documentation (e.g RAMS, permits, commissioning certs)
- Strong communication and organisation skills
- Tech savvy with Excel, Google Sheets and job management tools
- Ability to manage multiple tasks simultaneously and work to lead times and deadlines
