Are you in search of a temporary yet fulfilling role? We're thrilled to offer an exciting position for our client based in East London who are looking to appoint a CEO Administrative Officer PA for 12 months ongoing, at the rate of £30 per hour umbrella.
Purpose of Job
Assist the Senior Executive Assistant in the support framework for the Chief Executive, Board, Corporate Management Team and Corporate Services directorate in all aspects of their role in delivering the vision for this organisation. Operating with the highest degree of confidentiality in the role, you will be the first point of contact for the CEO and Chair both internally and externally.
Main Duties and Responsibilities
- Act as the first point of contact for the CEO and Chair for all calls, enquiries, visitors and requests.
- Manage the CEO's diary and appointments.
- Proactively plan and anticipate support for the CEO by reviewing diaries, meetings, events and tasks and requesting support from wider Business Support Team as and when required.
- Coordinate and manage the CEO's actions, deadlines and responsibilities.
- Coordinate cover for the CEO to ensure support is available at all times.
- Manage travel arrangements both nationally and internationally.
- Disseminate relevant information to internal colleagues and external stakeholders at the instruction of the CEO and/or CMT, or following CMT and Board meetings.
- Support the CEO by taking dictation and taking minutes; in person and over the phone.
- Represent the Chief Executive by managing external contacts with Councillors, MPs, Board members, local residents, and high profile and senior personnel; maintaining external stakeholder relationships as required.
- Organise internal and external meetings, tours, staff events and teleconferences; including booking venues and catering, arranging accommodation and transportation, and taking minutes as required.
- Prepare and/or draft correspondence for the CEO.
- Design presentations and other information on a range of issues for a variety of audiences using appropriate media.
- Process and code invoices and expenses for the CEO including reviewing budget.
- Receive, collate and respond to letters, emails and other contacts to the CEO.
- Support the CEO through inspections and instances of regulatory action and manage specific projects on behalf of the CEO.
- Organise monthly CMT meetings and support the Senior Executive Assistant with Board meetings and Board BSD events.
- Prepare CMT agendas, collating and circulating reports and documents.
- Assist in the production of CMT Board agendas, reports, documents and presentations with the CEO and/or with CMT members.
- Book venues for CMT, Board and Board BSD, ensuring that venues are fit for purpose, and arranging catering, technology and transportation where applicable.
