The London Borough of Hillingdon is seeking an experienced HR Admin to support the HR team during a busy period of backlog and onboarding. This is a fixed-term contract to cover a project/one-off workload peak (AC006 Project).
Key Responsibilities:
- Contact employees to advise on required checks.
- Load details into Matrix system to generate required checks.
- Resolve employee queries relating to checks.
- Carry out in-person document checks for employees and candidates (internal and external).
- Monitor and maintain DBS and Right to Work checks in Matrix.
- Record and update check outcomes accurately in Eploy, ResourceLink, and SharePoint.
- Update DBS requirements and update services in ResourceLink.
- Notify managers of check results.
- Maintain and provide compliance reports and data.
- Ensure relevant documents are stored correctly in SharePoint and/or Civica.
- Support backlog employee file management including scanning and converting paper files to digital.
- Review paper files for compliance with data retention policies and assist with archiving or destruction.
- Provide general administrative support within the HR team including candidate onboarding.
Skills & Experience Required:
- Knowledge and understanding of Disclosure and Barring Service (DBS) levels and checks (Essential).
- Understanding of eligible Right to Work checks (Essential).
- Excellent organisational and prioritisation skills with ability to work independently.
- Strong administrative and monitoring system experience.
- High attention to detail and consistency.
- Experience in office/administration environments.
- Proficient in business processes and IT systems used in frontline service delivery.
- High standard of word processing and keyboard skills.
- Experience with general admin tasks including answering telephones as first contact.
- Ability to establish and maintain effective information management systems.
Qualifications:
- Minimum 5 GCSEs or equivalent including English and Maths (C grade or above).
