We are recruiting an experienced Private Client Legal Secretary to support a Partner and small team of lawyers at one of the City’s most prestigious US law firms. This role offers the opportunity to work in a highly professional, client‑focused environment, providing comprehensive secretarial and administrative support to a busy Private Client practice.
Key Responsibilities
- Producing and amending a wide range of legal documents and correspondence from handwritten, dictated or digital material, often to tight deadlines.
- Providing full administrative support, including diary management, inbox monitoring, meeting coordination, travel arrangements and expense processing.
- Assisting with billing processes, time recording and matter administration.
- Managing incoming and outgoing mail, research requests and general file administration.
- Maintaining accurate and well‑organised electronic and paper filing systems, including preparation of files for archiving.
- Handling telephone calls professionally, directing enquiries appropriately and providing cover for colleagues when required.
- Liaising effectively with internal support teams and the firm’s global offices.
- Printing, scanning and copying legal documentation.
- Maintaining strict confidentiality of all client and firm information.
- Providing ad‑hoc administrative support as required to ensure the smooth running of the team.
Skills & Experience Required
- Advanced Microsoft Word skills and good working knowledge of Excel and PowerPoint.
- Excellent written and verbal communication skills, with the ability to interact confidently at all levels.
- Highly organised, proactive and detail‑oriented. High level of speed and accuracy.
- Flexible and conscientious approach with the ability to manage competing priorities.
- Strong team player with a professional and client‑focused mindset.
- Strong academic background. Five years’ legal secretarial experience within a law firm or professional services environment is preferred.
You may also have experience in the following: Private Client PA, Private Client Legal PA, Legal Secretary – Private Wealth, Trusts & Estates Legal Secretary, Wills & Probate Legal Secretary, Legal Administrative Assistant (Private Client), Partner’s PA, Executive Legal Secretary, or Legal Support Specialist – Private Client.
