Job Description

JOB SUMMARY  

The Project Manager is the person that takes all the information and has the overall responsibility for a Project’s success.  

Working with the Projects team and management you will liaise with clients from the very start of the project, learning and understanding their needs and fulfilling the brief in a timely way using the resources available in the most effective manner possible.  

KEY RESPONSIBILITIES 

Primary 

  • Lead the delivery of our live event management builds including scope, budget, staffing and build.  
  • Create and manage relationships with new and existing clients and foster expansion of business. 
  • Prepare quotes and contracts for events and update them from initial exploration to completion. 
  • Manage equipment for events on the warehouse stock system and order consumables. 
  • Be able to undertake a project and balance workload, assigning tasks to the Project Technicians and ensuring all records are accurate and timely. 
  • Undertake regular video calls and email exchanges with clients, provide a positive and ‘can do’ persona and use your expertise and experience to help shape their configuration.  
  • Use experience to help and mentor members of the Project Team and influence the Head of Operations. 
  • Log and allocate tasks though the Jira system with clear requirements and context. Ensure all tasks completed are reviewed and they are accurate in their contents and timings.  
  • Involve Project Technicians in client meetings and event builds, ensure work is distributed to Project Technicians in a way that helps their development and challenges them.  
  • Oversee the configuration of our bespoke event management software and assets for client events, maintain and promote best practice. 
  • Always present a positive and constructive presence to colleagues, clients, and on-site staff 

Secondary 

  • Show a Pro-active approach to the team, mentoring and development skills and constant meaningful feedback to the Head of Operations. 
  • Work closely with the other Project Managers and Senior staff to create and update processes and training.  
  • Work with sales staff and new clients to undertake new projects, timeline those projects, take overall ownership and ensure completion with the best customer service. 
  • Contribute to planning, staffing and strategy. 
  • Co-ordinate Projects team and ensure all staff and PMs are busy and motivated.  
  • Drive continual improvement in the department. 

QUALIFICATION, KNOWLEDGE, AND EXPERIENCE  

  

Required 

  • Minimum of 2 years Project Management experience, ideally in live events. 
  • Experience of using Web responsive HTML & CSS Javascript , ideally commercially. 
  • Expertise of Microsoft Office applications and Jira. 
  • A background in live events. 

Desirable 

  • Experience working on-site at live events.  
  • A working knowledge of jQuery, React, Bootstrap, MySQL.

  • Adaptable: You have proven capable to adjust your approach and tone of voice to different stakeholders and explain complex concepts in an understandable way.  
  • Resilient: You will deal with situations where things did not go to plan and be able to work under pressure without supervision 
  • Customer Centric: You have proven yourself to be a strongly client focussed person. You liaise with our clients in a professional and collaborative manner. 
  • Curious: You are someone who wants to know how things work and find new ways of doing things.  
  • Flexibility: You will be expected to work on client sites in the UK and globally. Sometimes this will be at short notice, so a desire and willingness to work away from home is essential.  
  • Team Player: Collaborative mindset, willing to contribute ideas and work as part of a cohesive team. 
  • Relationship Management: Strong interpersonal skills with the ability to build rapport and trust with staff, existing and potential clients.
