Working Hours & Shift Pattern

This role operates on a rotating shift pattern to support operational coverage and brand service level requirements.

  • Week 1: Monday to Friday 07:00 – 16:00
  • Week 2: Thursday to Tuesday 07:00 – 16:00

Shift Pattern Details: This is a rotating shift role alternating between the above schedules. The Week 2 shift includes weekend working (Saturday and Sunday), with Wednesday being the rest day. Flexibility may be required during peak trading periods, brand launches, and seasonal demand.

Role Overview

The Brand-Dedicated Order Processing & Control Coordinator is responsible for the end-to-end processing, coordination, and operational management of all orders relating to several specific major global brand partners. This role acts as the primary operational point of ownership for the brand's order lifecycle — ensuring accurate processing, prioritisation, fulfilment, and dispatch in line with Rex Brown's internal KPIs and the brand's service level agreements (SLAs). The role ensures operational excellence, accuracy, and accountability across all brand-specific order flows, supporting Rex Brown's position as a trusted global fulfilment and marketplace partner.

Key Responsibilities

  • Order Processing & Management
    • Full ownership of all order processing for the assigned global brand across all channels (TikTok Shop, eCommerce, marketplace, wholesale, and retail partners).
    • Print, allocate, and prioritise orders within the Warehouse Management System (WMS) and associated client systems.
    • Ensure all orders are processed accurately, efficiently, and within agreed SLA timelines.
    • Monitor and manage order queues to prevent delays, backlogs, or SLA breaches.
    • Actively prioritise urgent, VIP, or time-sensitive orders.
  • System & Inventory Coordination
    • Accurately receipt, allocate, and update stock within WMS, EFM, and brand-specific systems.
    • Maintain accurate stock locations, transfers, and availability records.
    • Support inventory investigations, discrepancies, and stock reconciliations.
    • Work closely with Goods-In, Replenishment, Picking, and Dispatch, Returns teams to ensure seamless fulfilment.
  • Brand-Specific Operational Ownership
    • Act as the operational owner and internal specialist for the assigned brand.
    • Ensure all brand-specific SOPs, workflows, and compliance standards are followed.
    • Support the onboarding of new SKUs, product launches, and seasonal demand increases.
    • Monitor operational performance and proactively identify risks or inefficiencies.
  • Performance Monitoring & SLA Management
    • Ensure all brand orders meet agreed KPIs, including:
      • Order processing time
      • Dispatch timelines
      • Picking accuracy
      • Stock accuracy
    • Escalate risks or delays proactively to management.
    • Support continuous improvement initiatives to enhance brand performance.
  • Cross-Team Coordination
    • Work closely with Warehouse teams, Client services, Stock control, Operations management.
    • Support internal communication regarding brand order priorities and operational requirements.
  • Compliance, Safety & Operational Standards
    • Follow all Rex Brown SOPs, Health & Safety, Quality, and Security policies.
    • Ensure accurate and timely completion of all documentation and system records.
    • Support warehouse operational excellence initiatives, including process improvements and efficiency projects.
