THE ROLE
This is a hands-on operations support role, ideal for someone with strong administrative skills and an interest in supply chain and logistics. The Operations & Supply Chain Assistant will provide day-to-day coordination and administrative support across procurement, logistics, and stock movement, ensuring information, documentation, and trackers are accurate, up to date, and shared with the right stakeholders. The role supports activity across the UK, Amazon, and international (ROW) channels.
Key Responsibilities
- Operations & Procurement Support
- Provide day-to-day administrative support to the operations and demand planning teams.
- Support critical path tracking by monitoring timelines, updating status and flagging risks or delays.
- Raise and maintain purchase orders (POs) under guidance from the operations team.
- Keep internal systems, trackers and documentation accurate and up to date.
- Inbound & Outbound Logistics Coordination
- Support inbound shipments from manufacturers and suppliers, including sea and air freight.
- Coordinate booking-in information between manufacturers, freight partners, 3PLs and retail partners.
- Assist with outbound deliveries to UK customers, Amazon warehouses and international markets.
- Track delivery progress and update internal stakeholders on shipment status.
- Escalate delivery delays or issues to the operations team when required.
- Documentation & Compliance
- Collate, check and file import/export documentation, including: Commercial invoices, Packing lists, Waybills and bills of lading, Other required shipping or regulatory documents.
- Support compliance by ensuring documentation is complete and accurate prior to shipment.
- Maintain organised digital records for audit and reference purposes.
- Amazon & 3PL Support
- Support deliveries into Amazon FBA and external 3PL warehouses.
- Assist with monitoring stock movements and flag potential stock risks.
- Help resolve basic delivery or booking queries with guidance from the wider operations team.
- Stakeholder & Team Support
- Maintain trackers for shipments, bookings and document handovers.
- Act as a coordination point between operations, marketing, sales, finance and external partners.
- Support the preparation of operational and supply chain reports as required.
- Ensure operational admin SLAs and internal KPIs are met.
Requirements
Essential
- Experience in an administrative or coordination role, ideally within operations, logistics, or supply chain.
- Strong organisational skills and high attention to detail.
- Ability to manage multiple tasks, trackers and deadlines simultaneously.
- Clear written and verbal communication skills.
- Confident using Excel or Google Sheets and working with internal systems.
Desirable (but not essential)
- Exposure to logistics, freight or supply chain environments.
- Experience supporting e-commerce or Amazon FBA operations.
- Familiarity with international shipping or customs documentation.
