A growing Facilities Management business is looking to recruit an organised and proactive FM Scheduler / Compliance Administrator to support the coordination of planned maintenance, reactive works and small project jobs across a range of client sites. This is an office-based coordination role suited to someone with experience in Facilities Management, building maintenance, contractor coordination, service scheduling, helpdesk administration or similar.

The successful candidate will be responsible for scheduling jobs, organising engineers' diaries, collating key site information and ensuring the correct documentation is in place before works are carried out.

The Role

As FM Scheduler / Compliance Administrator, you will act as a key link between clients, engineers, subcontractors and internal teams. You will help ensure jobs are booked efficiently, engineers have the right information before attending site, and required documentation such as RAMS, site paperwork and compliance records are prepared, requested, checked and stored correctly. This role would suit someone who is highly organised, confident speaking with clients and engineers, and able to keep multiple jobs moving at the same time.

Key Responsibilities

  • Scheduling planned, reactive and remedial works for mobile engineers and subcontractors.
  • Managing engineers' diaries to maximise efficiency, reduce wasted travel and improve response times.
  • Booking appointments with clients, confirming access arrangements and providing job updates.
  • Collating job information, site details, engineer notes, client instructions and required documentation.
  • Preparing, requesting and maintaining RAMS, permits, access documents and other site‑specific paperwork.
  • Ensuring engineers and subcontractors have the correct documentation before attending site.
  • Raising work orders, updating job records and maintaining accurate information on internal systems.
  • Monitoring job progress and following up on outstanding works, reports, paperwork or remedial actions.
  • Liaising with clients, engineers and internal teams to resolve queries quickly and professionally.
  • Supporting the coordination of small works and maintenance projects from instruction through to completion.
  • Assisting with compliance records, engineer certification, contractor documentation and service reports.

About You

  • Previous experience in Facilities Management, building maintenance, service coordination, contractor coordination, helpdesk administration or a similar role.
  • Experience scheduling engineers, tradespeople, contractors or field‑based teams.
  • Good understanding of RAMS, site paperwork, permits or health and safety documentation.
  • Strong administration skills with excellent attention to detail.
  • Ability to organise information quickly and accurately.
  • Confidence dealing with clients, engineers, subcontractors and internal teams.
  • Good IT skills, including Microsoft Office.
  • Experience using CAFM, job management or scheduling systems would be advantageous but training on this can be provided.
