Responsive Property Management (RPM) is a rapidly growing and ambitious property management company based in Swindon. We pride ourselves on delivering a responsive, professional, and personal service to landlords, tenants, developers, and block management clients across the region. As our portfolio continues to grow, we are looking for an organised, proactive, and driven Lettings & Property Coordinator to join our expanding team. The Lettings & Property Coordinator will play a key role in the day-to-day operations of the business, supporting both the lettings and property management functions. You will be responsible for coordinating maintenance, ensuring compliance is up to date, managing tenancy administration, supporting viewings and move-ins, liaising with landlords and contractors, and helping generate new business opportunities. This role would suit someone highly organised, customer-focused, and confident managing multiple priorities.

Key Responsibilities
  • Property Management & Maintenance
    • Coordinate property maintenance issues from initial report through to completion
    • Liaise with contractors, tenants, landlords, and suppliers
    • Obtain quotations and arrange contractor attendance
    • Ensure works are completed efficiently and to a high standard
    • Keep accurate maintenance records and updates
  • Tenancy Administration
    • Prepare tenancy agreements and associated paperwork
    • Manage referencing and onboarding processes
    • Coordinate tenancy renewals and notices
    • Support move-ins and move-outs including inventories and key management
  • Compliance & HMO Administration
    • Track and manage property compliance certificates including: Gas Safety, EICR, EPCs, Fire Safety, Legionella
    • Maintain HMO licensing and compliance records
    • Ensure all properties remain legally compliant
  • Viewings & Lettings Support
    • Book and coordinate property viewings
    • Support prospective tenant enquiries
    • Assist with marketing and property listings
    • Help convert enquiries into successful lets
  • Block Management Administration
    • Support administration for managed blocks and developments
    • Assist with contractor coordination and resident communications
    • Maintain records and documentation
  • Landlord Communication
    • Provide regular updates to landlords
    • Build strong client relationships
    • Deliver excellent customer service and problem resolution
  • New Business Generation
    • Identify opportunities for portfolio growth
    • Support landlord acquisition activities
    • Assist with networking, referrals, and lead generation
    • Promote RPM services professionally and proactively

About You
