Personal Assistant A busy and varied role has arisen working to a Head of Division, providing dedicated support to the HoD and Senior Managers and general support to the Division. The core of the job is to provide secretarial/administrative support for the HoD and Senior Managers as well as administrative support for the Division. The nature of the Directorate\βs work is fast-paced and there is a strong emphasis on staff supporting one another both in the PA Team and the wider Directorate. There will also be the opportunity to provide cover for the other Scale I PAs which includes the RD Director within the Directorate, both secretarial and non-secretarial. We are fully committed to having a diverse and inclusive working environment and support our staff in structuring their working arrangements to balance their work-life needs. We will provide full on the job training. Minimum Essential Criteria Excellent organisational and time management skills, with the ability to multi-task and prioritise (often operating to tight deadlines). A proven and active team player, willing to help others to achieve results with the ability to work independently and on your own initiative. Act as the first port of call for external stakeholders engaged in working activities with the Heads of Division. Organise key meetings/conference calls with external stakeholders both domestically and internationally. Flexibility and the desire and confidence to get things done with a proactive approach. Arrange team meetings, initiate agendas, and ensure papers are added to OneNote and ready when required. Arrange Head of Division and team travel, prepare itineraries etc and process all related expenses. Cover other RD HoD PAs in their absence. OneNote & Sharepoint experience required
