We are currently seeking experienced Referral Clerks to support administrative and patient administration functions in the Referral Management & Utilization Department at Portsmouth Naval Medical Center.
This position includes but is not limited to:
- Patient registration
- Check in/out of patients
- Scheduling and confirming appointments
- Updating patient medical records
- Adhering to HIPAA
Location: Portsmouth Naval Hospital, Portsmouth, VA
Schedule: Monday-Friday; between 0700-1530
Department: Referral Management & Utilization
Job Responsibilities:
- Utilize the MHS GENESIS system to retrieve external medical documentation, termed Clear and Legible Reports (CLRs), and upload the results into the patient’s chart.
- Utilize telecommunications technology to collect external documentation for patients within NMC Portsmouth by contacting outside clinical practices.
- The expected daily target is at least 70 CLRs on a standard workday and 50 CLRs on days focused on collecting external documentation.
- Communicate with providers regarding CLRs if they are incorrect or need additional context.
- Review referral notes, including consultation, operative, and discharge summaries requested when a TRICARE Beneficiary is referred to external providers for care.
- Return external documentations to the patient chart.
- Chase external notes from network providers for patients to upload into the patient chart.
- Respond to provider queries regarding external provider notes and documentation.
- Ensure referral results are returned to the referring provider and to the medical record within required timelines.
- Assist with follow up, written or verbal, as necessary.
- Utilize the referral tracking data collection tool within MHS GENESIS to measure the amount of outstanding CLRs.
Qualifications:
- Education: High School Diploma or GED
- Experience: A minimum of 12 months of administrative experience working in a medical practice or clinical setting.
- Knowledge of medical terminology required.
- Must be able to type at least 50 WPM.
- Certification: Active Basic Life Support (BLS) from either American Heart Association (AHA) or American Red Cross.
- Security & Citizenship: Candidates must be US Citizens and meet outlined federal background and drug screening to secure base access.
