We are currently seeking experienced Medical Office Clerks to support administrative and patient administration functions on a part‑time basis in the Radiology Department at Portsmouth Naval Medical Center.
This position includes but is not limited to:
- Patient registration
- Check in/out of patients
- Scheduling and confirming appointments
- Updating patient medical records
- Adhering to HIPAA
Location: Portsmouth Naval Hospital, Portsmouth, VA.
Schedule: Saturday and Sunday only, 8hr shift between the hours of 6:30a-5:30p.
Department: Radiology.
Job Responsibilities:
- Utilize MHSGENESIS and various other databases in support of patient care and to satisfy administrative requirements.
- Provide scheduling services for patient care.
- Serve as the initial point of contact for staff and patients to the department.
- Conduct themselves in a professional and courteous manner and display sensitivity to patients’ needs.
- Be largely responsible for most aspects of the check-in process as patients present to the department, including greeting patients, checking in and updating patient records, assisting patients in completion of appropriate forms and question sheets, providing patients with educational material or showing educational videotapes, and coordinating patient flow through the department.
- Maintain records of patients treated and examinations performed.
- Utilize the MTF automated patient scheduling system to set patient exams and remind patients of upcoming appointments by telephoning them prior to their appointed visit.
- Receive phone calls from patients, physicians, emergency room personnel, providers at outlying clinics, other departments, MTFs or DoD installations.
- Screen incoming calls, ascertain the nature of the call, following established department guidelines, and forward calls appropriately.
- Act as the information receptionist for the department, answering the telephone and receiving patients/family members/visitors and military personnel in the radiology spaces; taking appropriate measures to ensure confidentiality and privacy during interactions, and providing the necessary information and material to aid in handling callers/visitors.
- Maintain ongoing contact with beneficiaries, staff members, and healthcare providers primarily by telephone, in person, or via electronic mail.
- Contact patients, healthcare providers, clinics, and hospitals/DOD installations as directed by department staff, following established department guidelines.
- Obtain and return transport equipment.
- Use protective devices for patients with communicable diseases.
- Relay and receive information regarding the patient’s scheduled medical procedures and communicate with all MTF staff as necessary.
- Be physically capable of normal ambulation, to also include stooping, bending, reaching, lifting, pushing, and pulling medical equipment and patients.
Qualifications:
- Education: High School Diploma or GED
- Experience: A minimum of 12 months of administrative experience working in a medical practice or clinical setting. Knowledge of medical terminology required. Must be able to type at least 50 WPM.
- Certification: Active Basic Life Support (BLS) from either American Heart Association (AHA) or American Red Cross
- Security & Citizenship: Candidates must be US Citizens and meet outlined federal background and drug screening to secure base access.
