This role is to provide administrative support to ensure the efficient operation of the office. It supports managers and employees through a variety of tasks and ensures that all tasks are completed accurately and delivered with high quality and in a timely manner. Responsibilities include meeting and greeting clients and visitors, answering the phone, dealing with general queries, liaising with suppliers, ensuring adequate office supplies, compliance with H&S policy and procedures, liaising with IT, and much more.

  • Responsible for upkeep of building, furnishings, and non-technical equipment, including cleaning, security, and space management.
  • Ensuring facilities suppliers deliver high-quality services, with maximum value for money and appropriate commercial terms and conditions in place.
  • H&S Manager - ensure compliance with Health & Safety legislation, implementing changes and updating H&S policy where necessary.
  • DSE assessments for all new employees within the UK and following changes to any employee's circumstances.
  • Update risk assessments on an annual basis and when structural changes occur in the office.
  • Ensure all electrical items in the office are PAT tested annually and that visual PAT tests are completed on all new electrical goods (including TVs for testing), by the IT Manager.
  • Organise customer deliveries via DHL (including customs invoices).
  • Organize deliveries/collections to/from remote colleagues.
  • Collect and distribute incoming mail.
  • Prepare customer invoices.
  • Book travel, accommodation, meetings, and client lunches, etc.
  • File and record documents based on established procedures.
  • Purchasing goods and services as requested/required via PO.
  • Compose business letters, reports, and other internal communication.
  • Take minutes for meetings as and when requested and delegate actions raised.
  • Other miscellaneous admin duties.

Skills:

  • Ability to self-motivate and work independently without close supervision.
  • Excellent computer skills and proficiency working with Microsoft Office and Excel.
  • Positive can-do attitude to tasks, with good time management/organisational skills.
  • Good oral and written communication skills.
  • Awareness of policies and procedures of H&S in the workplace.

Qualifications:

  • H&S – IOSH Managing Safely (including DSE) – not mandatory but beneficial.
  • Fire Marshal - not mandatory but beneficial.
  • Emergency First at Work - not mandatory but beneficial.
