Executive Assistant – 12‑Month Fixed Term Contract (Maternity Cover)

This London‑based role offers the opportunity to make a significant impact through proactive organisation and excellent communication skills while supporting the CEO and COO with diary and inbox management, travel coordination, expense handling, and meeting scheduling.

Responsibilities

  • Provide full diary and inbox management for the CEO and COO, ensuring schedules are prioritised, efficient, and conflict‑free.
  • Act as the first point of contact for executives, managing queries from internal stakeholders and external clients.
  • Proactively complete tasks and follow instructions from executives in a timely and accurate manner.
  • Coordinate and schedule internal and external meetings, liaising with key stakeholders as needed.
  • Ensure executives are well‑prepared for meetings by providing relevant materials, agendas and briefings.
  • Manage expenses in line with company processes and arrange all travel, including trains, flights and accommodation.
  • Support the organisation and delivery of large partner meetings and events.
  • Work collaboratively with the wider team, including other EAs, to provide seamless support.
  • Assist with ad‑hoc tasks and responsibilities as required by the CEO, COO or the executive team.

Qualifications & Skills

  • Proactive, can‑do attitude with a willingness to take initiative.
  • Strong organisational skills and excellent attention to detail.
  • Ability to work independently and manage multiple priorities effectively.
  • Confident in using Microsoft Office tools, including Outlook, Teams, PowerPoint and Excel.
  • Excellent communication skills, able to engage confidently with senior stakeholders and external clients.
  • Strong time‑management skills, consistently delivering tasks in a timely manner.
