We are currently seeking a Contracts Assistant to join our dedicated team at the Welwyn Garden City branch.

As a Contracts Assistant, you will support the management team in coordinating key contracts, liaising with clients, and ensuring the smooth administrative execution of daily operations.

Key responsibilities include

  • Managing client portals: Overseeing Reg 10, reactive, and social housing administration.

Including downloading daily files, updating trackers, saving reports, and amending or closing out jobs.

  • Creating job documentation: Generating daily job sheets and preparing necessary paperwork for the operational teams.
  • Supporting subcontractor and CRM administration: Raising purchase orders (POs) for subcontractors, updating the internal CRM system, handling data entry, checking reports, and assisting with RAMS (Risk Assessments and Method Statements).
  • Liaising with clients: Booking in scheduled works and maintaining professional communication with clients.
  • Assisting with financial processes: Collating key figures and data to support the monthly invoicing process.

Managing team logistics: Coordinating travel bookings for the team and actively participating in departmental meetings.

  • Developing project presentations: Collating relevant data and creating Power Point presentations for key initiatives and projects (such as YVC).
  • Providing ad-hoc support: Undertaking any additional administrative duties as required to support the wider team.

Contracts Assistant Requirements

  • Previous administrative experience with good IT skills would be preferred but is not essential as training will be provided
  • Good attention to detail as you must work with a high degree of accuracy
  • Ability to work using your initiative and work well in a fast-paced environment
  • Work well within a team
  • Demonstrate excellent customer service and communication skills
