Background: Following a significant growth in our digital HR landscape, our support capabilities have expanded beyond our core Workday platform. Our team is now responsible for a diverse ecosystem of HR IT systems that deliver business capability and value across 91% of global GDP. This role works closely with Global Solution Managers and Product Owners to ensure our technology supports the full spectrum of HR activities, acting as the frontline for system stability and user empowerment.
Main Purpose of Role: This role provides technical and functional administration for a suite of HR systems, including Workday and specialised HR systems like CornerStone, OnDemand and Career+. You will act as a bridge between End-Users, HR and Technology, ensuring our systems are optimised to support the broad spectrum of HR business needs - from core HCM (Human Capital Management), Learning & Development and Referral / Recruiting tools. The role is predominantly BAU (Business-As-Usual) support with some involvement in supporting strategic projects to drive improvements within the support team and to help grow our capabilities. You will be processing and troubleshooting core HCM queries and requests as well as other HR related IT solutions.
Key Tasks and Responsibilities:
- Service and Incident Management (BAU Support): Ensure the operational effectiveness of our HR systems by managing the ServiceNow queue. This includes reviewing, analysing, and troubleshooting Tier 1 & 2 support requests and queries (security assignments, password issues, rescinds and corrections), resolving them directly or delegating to Tier 3 support as required.
- Process Optimisation: Proactively identify opportunities to improve our processes and contribute to initiatives that are aimed at improving the employee and HR experience.
- Reporting & Analytics: The ability to look at data with the mindset of improving and adding efficiency to our support team processes and procedures, also having the ability to create basic reports and report schedules within Workday while ensuring strict data privacy standards.
- Software Development Life Cycle (SDLC) Support: Partner with Global Solution Managers and outsourced technical teams throughout the project life cycle.
- Release Management: Support bi-annual Workday releases and specialised system updates by performing regression testing to ensure zero-impact transitions.
- Data Management: Execute mass data loading strategies (Workday EIB’s or equivalent) for business cycles, deployments, and Merger & Acquisition activities, ensuring high standards of data integrity and consistency across all systems.
- Knowledge Management: Produce and maintain Knowledge Base (KB) articles and training materials to empower self-service for employees and the wider HR team.
Experience & Knowledge:
- Essential: Hands-on experience in Workday Functional Administration.
- Essential: 2+ years experience managing service requests via ServiceNow (or similar ticketing tools) and an understanding of Continual Service Improvement (CSI).
- Preferred: Specific experience with Learning Management Systems (LMS) for example; Cornerstone, also with Recruiting / Referral tools, or Talent platforms (Career+) etc.
- Preferred: Familiarity with the Workday Security model, including role-based assignments and troubleshooting access issues.
- Preferred: Broad understanding of the HR lifecycle (Recruitment, Onboarding, Performance, Compensation, and Payroll) and how technology supports these functions.
- Preferred: Experience with data migration, system integrations, and mass transaction tools.
- Preferred: Experienced in creating support guides, process documentation and able to work with large data to identify trends and drive improvement.
