The purpose of this role is to work in a team to provide high quality administrative support to the Rennie Grove Peace Coordination Centre. This role will suit someone who:
- would like to help provide an excellent service to people who are using the Rennie Grove Peace clinical services.

- can work flexibly covering early mornings and evenings and weekends.
Main duties of the job:
- Acting as the first point of contact for patients, families and professionals and provide a kind and knowledgeable response when dealing with callers and knowing how and when to upscale.
- To deal appropriately and sensitively with all callers, adhering to hospice policies on confidentiality at all times.
- Working collaboratively with others in the Coordination Centre, including clinical colleagues and support them to ensure the patient and family receive the appropriate care in a timely way.
- Ensuring that data entry on to the clinical systems is complete and accurate.
- Work on a rota basis covering 8am to 6pm, seven days a week.
- Acting as a Rennie Grove Peace Hospice Care ambassador.

We provide palliative and end of life care support, including bereavement services, within Buckinghamshire and Hertfordshire and our patient services are available to adults, as well as patients transitioning into adult services (16 to 25 years). Bereavement support is offered for all ages to families of patients and those around them, as well as throughout the community, in schools and workplaces. We are proud to offer care in the place that best suits the individuals needs, whether thatβs at home, in a care home, in a short stay in our inpatient unit, out in the community, or in our purpose-built Living Well Centre facilities. As a hospice care charity, we have offered this support, free of charge, for over 40 years.
Our staff team of 340+ includes a wide range of patient-facing disciplines plus operational support based in Watford, Tring, St Albans, Chalfont St Giles and Berkhamsted. The Charity is now one of the larger UK hospice charities, reaching a GP population of 797,037 of whom 75% live in Hertfordshire and 25% in Buckinghamshire.
Job responsibilities:
- Support and train those new to the team including volunteers.
- To work with the SystmOne (S1) champions across the hospice, being able to provide the S1 admin induction sessions for all new staff and contribute to the S1 train the trainer sessions.
- Lead others across the organisation by acting in a professional, kind and competent manner at all times.
- Management of all referrals into Rennie Grove Peace, both those from external sources and internal referrals.
- Ensure that the correct team is notified of the referral and the priority score in order that the patient and family receive care in a timely fashion.
- Ensure that the correct data is entered into the clinical system.
- Call patients and family members to arrange appointments.
- Take messages from professionals, patients and family members to ensure they are passed to the most appropriate person.
- Pull data from the clinical system for pre-planned reports such as patient lists or missing data reports.
- Book rooms for appointments, prepare clinic letters and process patient discharge summaries, ensuring these are all completed in a timely manner.
Person Specification:
Essential:
- Good standard of general education, including Mathematics and English to GCSE level or equivalent.
- Outstanding organisational skills.
- Excellent working knowledge of MS Office packages including Word, Excel and PowerPoint.
- An attention to detail with all types of information and data entry.
- Excellent communication skills, both written and verbal.
- Demonstrates a can do attitude to work-related situations.
- Able to work alone and as part of a team.
- Proven experience of working with databases.
- Some knowledge of healthcare services for patients towards the end of life.
- Sensitivity and understanding to the needs of your team and customers, many of whom may have experienced Rennie Grove Peace Hospice Care services or have been bereaved.
- Know the limits of your knowledge and understand when to elevate issues or concerns.
- Understand own level of competency when dealing with sensitive patient or carer conversations including information giving, referring to the Team Lead or Service Manager when required.
