Job Purpose

The Senior HR Shared Services Administrator plays a key role in delivering a high-quality, customer-focused HR service across the employee lifecycle.

Acting as a senior member of the Shared Services team, the postholder provides expert customer-focused administrative support, guidance on HR processes, and serves as an escalation point for complex queries.

The role supports continuous improvement, drives operational excellence, ensures compliance with employment legislation and company policies, and helps develop team capability through coaching and knowledge sharing.

Responsibilities

  • Employee Lifecycle Administration
  • Manage complex employee lifecycle activities including new starters, contractual changes, promotions, transfers and leavers.
  • Prepare and quality-check employment contracts, letters and other HR documentation.
  • Coordinate onboarding activities and ensure a positive employee experience through delivery of inductions.
  • Support family-friendly leave processes and guide employees.
  • Maintain accurate employee records within HR systems such as Workday, and manage day to day tasks.
  • HR Query Management
  • Act as a subject matter expert and escalation point for HR-related queries from employees and managers.
  • Provide first-line guidance and stakeholder support on HR policies, procedures and employee lifecycle processes.
  • Work closely with HR Advisors, HR Business Partners and specialist teams to ensure effective resolution of queries, support notetaking and letter preparation.
  • Data Management & Compliance
  • Ensure employee data is maintained accurately and in compliance with GDPR.
  • Complete compliance checks including right-to-work checks, probation monitoring and employment documentation audits.
  • Produce and analyse HR reports, identifying trends, risks and opportunities for improvement.
  • Support internal and external audit requirements as required.
  • Payroll & Benefits Support
  • Support payroll-related changes and liaise with the payroll team through accurate and timely collaboration.
  • Coach and train team members to build knowledge of payroll activities.
  • Assist with benefits administration and annual employee benefit processes.
  • Continuous Improvement & Project Support
  • Identify, recommend and implement improvements to HR processes and service delivery.
  • Create and maintain process documentation, guidance materials and standard operating procedures.
  • Participate in HR projects, system enhancements and organisational initiatives.
  • Support the development of service level agreements and performance measures.
  • Team Support & Leadership
  • Provide day-to-day guidance and support to team members.
  • Assist with onboarding and training of new team members.
  • Share knowledge and promote best practice across the team.
  • Support the Team Leader in workload allocation and monitoring service standards.
  • Knowledge, Skills and Experience
  • Key requirements
  • Previous experience in an HR high-volume administrative role.
  • Experience working within an HR Shared Services environment.
  • Strong attention to detail, organisational skills and process minded.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Ability to prioritise workload and meet deadlines.
  • Customer focused and collaborative approach.
  • Good working knowledge of Microsoft Office (Word, Excel, Outlook and Teams).

Desirable requirements

  • Knowledge of employment legislation and HR processes.
  • Experience using Workday (HRIS).
  • CIPD qualification or working towards CIPD Level 3 or equivalent.
