Summary & Main Purpose:

  • Handling of general enquiries from MBTUK & the network.
  • Communication in line with DTUK standards.
  • Sending delegate joining instructions as required.
  • Provision of delegate lists to suppliers and trainers no less than 48 hrs prior to course start date.
  • Liaise with suppliers / trainers on a daily basis to ensure that all provisions are in place for scheduled courses.
  • Ensure all relevant course material is ready for collection each day by trainers within agreed timescales.
  • Identification and escalation of delegate rosters not received within 48 hrs of course delivery to relevant managers.
  • Follow up on the whereabouts of any delegate no shows with relevant dealer group or customer.
  • Closure of all courses within the TBLS max 48 hrs from receipt of delegate roster.
  • Manage training requests and waitlists on the TBLS & PDP system ensuring dealers / delegates are advised of course dates.
  • All courses to be targeted to a minimum of 75% fill unless otherwise agreed by the Manager.
  • Administration and maintenance of the TBLS max 48 hrs from request.
  • Generation of required monthly reporting by the end of the first week of each month.
  • Weekly reporting by the second day of each week.
  • Provision of regular management information to nominated suppliers to enable the population of a PDP & Feedback systems.
  • Administration of International and local supplied e-learning on the TBLS.
  • Ensure all manual invoice / credit note requests are raised on a monthly basis and provided to the Manager.
  • Management and coordination of catering services, including raising requests for lunches, beverages and room requirements.
  • Where applicable book external training venues with approved suppliers and provide quotes to Manager for approval.
  • Ensure all assessment results are communicated to the delegates within 10 days of the initial assessment date.
  • Ensure all technical certification material is forwarded to suppliers for processing within 10 days of assessment date, and accreditation status is awarded on the individuals TBLS training record.
  • Truck PO requirements are raised in accordance with company guidelines as requested by the Truck Training Manager as required.
  • Extraction and manipulation of the TBLS data to produce regular and ad-hoc training management reporting as required.
  • Administrative support with Handover Feedback questionnaires, associated incentives, and management reporting.
  • Management of driver training administration.
  • Direct customer invoicing in relation to training delivered.

Qualifications:

  • Educated to GCSE level grade C or above including Maths & English (or equivalent).

Experience:

  • Experience of carrying out a variety of administrative/reception tasks to a high standard.
  • Experience of answering front line queries from staff and managers and offering guidance and support, referring more complex queries where necessary.
  • Experience of delivering a high standard of Customer Service within a busy team.
  • Experience of using your time management skills to work under pressure and to tight deadlines with the ability to plan and organise.

Skills and Knowledge:

  • Microsoft Office Skills.
  • Understanding of administration processes.
  • Excellent verbal and telephone skills with outstanding attention to detail and accuracy.

Personal Qualities and Attributes:

  • Exceptional interpersonal, communication and organisation skills.
  • Ability to demonstrate initiative and work in a team and independently.
  • Good time management with the ability to plan, organise and prioritise workload under pressure.
