Under the general supervision of the Registrar, responsible for administering a comprehensive system of transcript evaluations and equivalency for transfer students. Maintain transcript management process for all external transcripts. Provide direct service to students, faculty, and other Regis constituents. Will require evening hours of operation.

Essential Job Functions

  • Evaluate, equate and document course equivalences from college transcripts, Advanced Placement (AP), College Level Examination Program (CLEP) and International Baccalaureate (IB).
  • Maintain process of obtaining external transcript in Target X and Colleague.
  • Create and process reports as needed.
  • Research and resolve transfer credit evaluation issues as needed.
  • Responsible for maintaining the repository of all external transcripts received.
  • Ensuring all official transcripts are received.
  • Liase with external institutions along with any third party to obtain an official transcript.
  • Partner with all Regis constituents to ensure a successful transition of transfer students.
  • Maintain accuracy of student academic records.
  • Collaborate with Program Directors/Deans to confirm course equivalences are meeting academic program requirements.
  • Maintain the accuracy of general student information in database system (i.e. change of address/change of name).
  • Monitor and maintain the accuracy of forms pertaining to transfer students.
  • Track, verify and transcribe all transfer, cross-registration, summer session, winter intersession, and study abroad courses onto the student’s academic record.
  • Assist with day to day office operations in absence of registrar and associate registrar.
  • Assist with any and all registrar matters for all locations and modalities.

Center For Student Services Responsibilities

  • Provide timely and accurate information to students/parents who contact Student Services.
  • Rotate in answering phone calls made to the department as needed.
  • Maintain confidentiality of students as directed under FERPA.
  • Distribute forms to faculty and students that pertain to Registrar’s office.
  • Must be able to interact professionally and effectively with individuals from diverse backgrounds and demonstrate a genuine and strong commitment to Regis College’s mission and goals.

Other Duties And Responsibilities

  • Collection of miscellaneous receivables.
  • Performs other related duties as required.

Qualifications

  • Bachelor’s degree required with 3 years of experience or equivalent combination of education and experience.
  • Experience in an educational institution environment or a background in collections; prior knowledge of financial aid practices and procedures.
  • Excellent customer service skills.
  • Proficiency in Student Accounts modules for data entry, billing, and collections.
  • Proficiency in Microsoft Office products (Word, Excel, Access, PowerPoint).
  • Ability to perform detailed work involving written and numerical data and to make arithmetical calculations rapidly and accurately.
  • Ability to communicate effectively both verbally and in writing; to establish positive public relations, and to interact effectively with a wide variety of people.

Working Conditions/Physical Demands

  • Normal office environment, not subject to extremes in temperature, noise, odors, etc.
  • May spend extended periods at terminal, on telephone, or operating other office machines, requiring eye-hand coordination and finger dexterity.
  • Required to bend and perform light lifting of files, documents, records, etc.
  • More than half of time spent in normal office setting.
