PURPOSE: The Senior Administrator is responsible for providing administrative and clerical services in order to ensure effective and efficient administrative operations. Providing residents and clients with information and support at all stages of service and works.
NATURE & SCOPE: The company is a property maintenance and installation organisation, which specialises in building repairs and maintenance work, including disabled adaptations to private, commercial landlords and industrial property owners of all kind.
ROLE SPECIFICATIONS: The below points form a guide to the duties and responsibilities under this position, but flexibility will be required:
- OPERATIONAL: Co-ordinate all repairs. Maintaining communication with the client, residents, Site staff and sub-contractors.
- Provide all works quotations.
- Arrange site surveys with Supervisors/FOM's.
- Manage the administration of works from pre-start to handover.
- Raise and enter new projects/work orders using Oneserve system.
- COMMERCIAL: Application for Payment (AFP) for works based on an operatives' timesheet and SoRs/sub-contractors' SoRs.
- Collate and issue out the Monthly Financial statistics.
- Collate and issue the Weekly Financial Statistics for all jobs Pending, not yet Completed & completed.
- Apply for variations where the actual work required is different to the work described on the work order. This may also involve requesting an extension of time.
- Draw up job specifications provided by Supervisors/FOM's.
- Maintain a 'job tracker' for each workstream, showing the status and value of work orders.

- Report any accidents/incidents, or unsafe situations to your supervisor or line manager.
QUALIFICATIONS, KNOWLEDGE, SKILLS AND EXPERIENCE:
QUALIFICATIONS
- Minimum of 4 GCSEs or Equivalent, Grades A - C (must include English & Math) Essential.
- NVQ in Business Administration Desirable.
- NVQ in Customer Service Desirable.
- Fire Warden training achievement Desirable.
- First Aid at Work (1-Day) training achievement Desirable.
- Display Screen Training achievement Desirable.
EXPERIENCE
- Experience of high volume, high pressure environments Essential.
- Knowledge of office administration Essential.
- Significant experience in a customer service type role, dealing directly with the public Essential.
- Preferably have experience of building construction and/or housing maintenance Desirable.

- Excellent verbal and written communication skills Essential.
