Job Summary
The Project Compliance Coordinatorwill work closely with senior managers to manage, organise and control handover paperwork on behalf of the project delivery team(s).

This role will focus on all applicable documental evidence that is required in line with the handover checklists, scope of work information and statutory requirements

Working as part of a team, you will take joint accountability for decisions impacting on your day to day activity, not being afraid to challenge existing thinking.

Occasional travel to site may be required within the North East.

Daily Responsibility

  • Specific objectives and deliverables will be agreed as part of your annual People Engagement Process (RE:PEP), the points below are a summary of your main duties and responsibilities.

  • Act as the central point of contact for project teams and stakeholders regarding client handover documentation, ensuring clear, timely, and effective communication.

  • Ensure the accuracy, completeness, and compliance of all handover documentation, including certifications, images, test results, and warranties.

  • Ensure all records have the correct naming convention and are filed correctly in RE:GEN’s digital document repository.

  • Track documentation progress against project monitors, identifying potential delays.

  • Escalate any handover documentation issues, ensuring they are addressed promptly and closed out effectively.

  • Liaise with subcontractors to ensure timely submission of handover documentation and alignment with project-specific and client requirements.

  • Support project team by providing training and guidance both internally and externally to ensure consistency across the business.

  • Contribute to continuous improvement initiatives by identifying and suggesting enhancements to standarised process and procedures.

  • Support the Project Compliance Manager with project reviews, reporting, and implementation of good practice within the compliance team and wider business.

  • Assist in ensuring that all handover deliverables meet contractual obligations and are submitted in line with client expectations and project milestones.

  • Attend project meetings as required to stay informed on progress, raise concerns on documentation gaps, and support planning for handover deliverables

Experience & Skills

Essential

  • GCSEs (or equivalent) at Grade 4/C or above in English and Math’s.

  • Relevant administrative or document control experience is desirable but not essential.

  • Willingness to undertake further training or qualifications related to the role, or digital systems, as required.

  • Proven experience in an administrative role, evidencing a structured, detail-oriented working style.

  • Able to demonstrate problem solving, analysis, reporting, and adaptability skills in a fast-paced environment.

  • Experience with digital systems including but not limited to Microsoft Packages and Adobe platforms.

  • Experience in a project administration, compliance-based role, or construction support role.

  • Familiarity with using digital management systems i.e. SharePoint, Procore or a willingness to learn quickly.

  • Strong attention to detail and a methodical approach to reviewing, naming, and storing documents.

  • Organised and proactive, able to manage workload independently and meet deadlines.

  • Confident using Microsoft Office tools, particularly Excel, Word, and Outlook.

  • Effective communication skills, with the ability to work effectively with colleagues, site teams, and external stakeholders.

  • Willingness to support process improvement initiatives and contribute to continuous improvement opportunities.

  • A flexible mindset with a problem-solving approach and a focus on delivering quality outputs.

Desirable

Relevant administrative or document control experience i.e. NVQ Business Administration
