Role Overview The Recruiting Coordinator will be the operational backbone of our talent acquisition efforts during a period of rapid scaling. This role is critical to maintaining our hiring velocity while ensuring every candidate has an exceptional experience with our company. You'll manage the full lifecycle of interview coordination across all roles—from engineers building our foundation models to go-to-market teams scaling our enterprise business.

What You'll Do:

  • Schedule and coordinate interviews across multiple time zones, often with same-day turnarounds.
  • Manage candidate communication from initial outreach through offer stage, maintaining our brand voice.
  • Coordinate travel logistics and onsite interview experiences for out-of-town candidates.
  • Partner with recruiters and hiring managers to optimize interview processes.
  • Maintain data integrity in our ATS and generate recruiting metrics.
  • Create and improve operational workflows to handle our growing interview volume.
  • Handle highly confidential information with discretion and professionalism.

What We Are Looking For:

  • 2-4 years in recruiting coordination, executive assistance, or operations roles (startup experience preferred).
  • Demonstrated ability to manage high-volume scheduling and complex logistics.
  • Experience with applicant tracking systems (e.g., Ashby).
  • Exceptional written and verbal communication skills.
  • Systems mindset—you naturally spot inefficiencies and implement solutions.
  • Strong judgment and ability to handle sensitive situations with discretion; bias to action.
  • Technical aptitude to quickly master new tools and build automated workflows.

Bonus Points For:

  • Experience with Ashby ATS.
  • Experience supporting technical recruiting or working in AI/ML companies.
  • Familiarity with scheduling tools and automation platforms.
  • Previous experience in hypergrowth/startup environments.
