Our cakes are stocked in Harrods, Bayley & Sage, Zapp, Framer J, Panzers and more and now we have opened our first beautiful shop in Chelsea. We are building something special and growing fast. JOB ROLE BRIEF

We are looking for a highly organised, proactive and reliable Admin & Accounts Assistant to join our growing team on a full-time basis. This is a key role within the business, supporting the day-to-day operations of our wholesale and kitchen administration. The ideal candidate will have excellent communication skills, strong attention to detail and the ability to manage multiple tasks efficiently in a fast-paced environment. Customer service is crucial to this role. This is a unique opportunity for someone young but experienced, confident in their organisational and tech skills and ready to step into a key role at an exciting stage of growth. You will work directly with the Founder, COO and Head Baker across a broad range of day-to-day admin, operations, logistics and accounts.

Main Duties & Responsibilities

  • Admin & Accounts Support
    • Managing and Monitoring wholesale order emails throughout the day and ensuring all customer communications are handled immediately and efficiently
    • Responding promptly and professionally to wholesale customer enquiries, order discrepancies, amendments and changes
    • Creating and distributing the daily wholesale bake list to the relevant kitchen team members in a timely manner
    • Ensuring all order updates and changes are communicated accurately to the relevant team members in a timely manner
    • Ensuring invoices are processed and sent on time
    • Supporting the Founder, Head Baker, and COO with administrative and operational tasks
    • Assisting with general office administration and organisation
  • Logistics & Operations
    • Liaise with our kitchen and shop teams as needed
    • Be the go to person for logistical issues (e.g. missed deliveries, address changes)
    • Manage aspects of wholesale customers: update orders, change delivery dates/notes, discrepancies, issues
    • Support general business logistics, from arranging couriers, DPD to managing supplier needs
    • Be the first point of contact when our drivers need support
  • Stock Control & Management
    • Ordering packaging and kitchen supplies as needed
    • Managing and maintaining stock systems to ensure supplies are always available
    • Identify and implement better stock control systems to support business growth

The ideal candidate for this role will:

  • Be trained in the specific needs of the business but we want someone who brings initiative and a sharp eye for how things could run even more smoothly
  • The successful candidate should be confident in assessing current systems and suggesting improvements to help enhance operational efficiency, including stock control, order management and administrative processes.
  • Strong customer service and interpersonal skills
  • Highly organised with strong attention to detail
  • Ability to work independently and as part of a team
  • Ability to prioritise tasks and work efficiently under pressure
  • Experience using Xero is beneficial but not essential
  • Must be strong using: Microsoft Office: Word, Excel, PowerPoint AI platforms
