Facilities Management Officer

Location: Edinburgh

Salary: £33,000-£37,000

Organisation: Third Sector

Reed Business Support are working with a highly respected 3rd Sector organisation that are on the hunt for a Facilities Management Officer to join their organisation on a permanent basis.

The Role

You’ll play a key role in ensuring our properties are safe, compliant, and fit for purpose. Reporting to the Head of Service Facilities Management and the Senior Facilities Management Officer, you’ll help deliver planned maintenance programmes, oversee inspections, and manage building projects from concept to completion.

Key Responsibilities

  • Support the delivery of planned preventative and cyclical maintenance programmes
  • Assist in the inspection programme, monitor results, and report findings
  • Conduct site visits to assess the quality of repairs and ensure compliance with legal and environmental standards
  • Monitor and manage contracts, prepare valuations and final accounts
  • Provide cost estimates, track expenditure, and ensure financial compliance
  • Gather and report on contractor performance post-completion
  • Offer technical advice to Unit Managers on maintenance issues
  • Analyse tenders and contribute to procurement decisions
  • Manage building alterations and refurbishment projects
  • Prepare technical specifications, feasibility studies, and statutory documentation
  • Conduct condition surveys and ensure buildings meet statutory standards
  • Assist with property acquisition and disposal
  • Maintain health and safety compliance, including emergency and contingency planning
  • Keep inspection records, safety files, and asbestos registers up to date
  • Participate in team meetings to align priorities and strategy
  • Undertake additional duties as required within the scope of the role

What We’re Looking For

  • Proven experience in facilities management, ideally within the third sector
  • Strong understanding of building regulations, health & safety, and maintenance standards
  • Excellent organisational and communication skills
  • Ability to manage multiple projects and contractors simultaneously
  • Proficiency in preparing technical documentation and cost analysis
  • A full, valid UK driver’s licence is essential
