Property Management Co-ordinator My client is a reputable property management agency, who are currently seeking an experienced Administrator – due to continued growth, to join their team based in Lisburn. This is a Full-Time, Permanent Position. Working Hours: Monday to Friday: 8.30am – 5pm. With a salary of £26,000 per annum + bonus. Job Role: You will be responsible for supporting the property management team by overseeing daily operations, coordinating tenant and property manager inspections and ensuring the smooth administration of residential properties. This role acts as a key point of contact for tenants and assists in managing the property managers schedules and overall property compliance requirements. Essential Criteria: Previous Administration experience within a similar role. Excellent communication skills both written and verbal – with the ability to communicate with stakeholders at all levels. Ability to prioritise a busy workload while adhering to deadlines. Ability to work on your own initiative as well as part of a team. Maintain confidentiality and ensure professionalism at all times. Excellent attention to detail and analytical skills. Desirable Criteria: Basic knowledge of property safety regulations, including fire safety, electrical safety or willingness to learn. ARLA accreditation. Main Duties and Responsibilities: Conduct routine and ad hoc audits of certificates to identify gaps. Proactively contact landlords, tenants, and contractors to resolve any outstanding certificates. Forecast safety renewals 4 weeks in advance. Serve as the first point of contact for tenant inquiries and concerns, providing prompt and professional resolution. Schedule routine inspections, move-ins, and move-outs for the property managers and inform tenants on the process to receive back their deposit. Process NTQs to inform tenants of their responsibilities when leaving their property. Ensure tenants are informed of property policies, procedures, and updates. Schedule routine inspections, move-ins, and move-outs. Maintain accurate records of safety certificates, landlord compliance documentations and tenant contact details. Identify improvements within the processes to reduce waste and improve efficiency and customer satisfaction. Liaise with tenants, landlords, contractors, and internal teams to ensure smooth property operations. Prepare and distribute communication regarding property compliance updates, maintenance schedules and upcoming inspections. Address tenant complaints professionally and escalate issues to the Property Manager as needed. Liaise with contractors to enhance understanding of property compliance and understand the basic foundations of safety certification of: Electrical Installation Condition Report, Gas Safety, Energy Performance, Portable Appliance Test, Heat & smoke detectors, Regulatory Fire testing Skills: administration property management administrator property management co-ordinator maintenance scheduler
