People Services Officer My client is a leading non-profit organisation, seeking a People Services Officer to join their team in Belfast. This is a Full-Time, Permanent position. Working Hours: 37 hours per week (hybrid role following probationary period with Belfast base). With a salary of £29,269 – £31,364 per annum pro rata (dependent on experience). Job Role: You will be responsible for leading professional and high-quality People Services administrative support services to the organisation, ensuring consistent practice in line with policy. Essential Criteria: 2 years' practical experience in a human resource function including experience of recruitment. CIPD membership at Associate level or above or a recognized qualification in Human Resources Management (or equivalent). Experience of using a computerised HR system, e.g. Natural HR. Knowledge and application of current employment legislation. Excellent communication skills both written and verbal – with the ability to communicate with stakeholders at all levels. Excellent organisational skills with a high level of attention to detail. Ability to prioritise a busy workload. Ability to work on your own initiative as well as part of a team. A full current driving licence enabling the holder to drive in NI and have the use of a vehicle for official purposes or have access to a form of transport that will enable you to meet the requirements of the post in full. Main Duties and Responsibilities: Lead on the implementation of the People Services computerised HR information system, working to improve and automate processes, ensuring records are up to date, securely stored and accurately maintained. Lead on the automation of People Services processes, ensuring administrative processes are streamlined, easy to use and meet the needs of staff. Act as the People Services point of contact for HR Systems. Logging queries, liaising with systems support and working to resolve these in a timely manner to ensure the system is working to organisational needs and maximising efficiencies, creating new forms and processes as required. Oversee all aspects of the recruitment and selection process in conjunction with departmental managers, providing support to deliver consistent practice and ensuring that the process complies with appropriate legislation i.e. Equality legislation and vetting procedures. Co-ordinate HR activity in relation to pension arrangements within the organisation and with the external pension provider as required. Co-ordination of all aspects of the annual leave process including renewal of the leave year and calculation of annual leave entitlements in a timely manner. Liaise with the finance services department on a monthly basis in preparing payroll information for processing. This includes collating information for monthly payroll and responding to queries as required. Collate and prepare a range of statistical People Services reports including recruitment, sickness absence, payroll, terms and conditions, PDR reports etc. Prepare statutory reports for the Equality Commission i.e. annual returns and Article 55 on a tri-annual basis and Department of Finance and Personnel. Support in organisational development activities, e.g. Investors in People, Excellence Model, etc. Lead the coordination and completion of administration associated with People Services. Support line managers in the induction of staff and carryout Corporate Inductions with new staff. Oversee the handling of incoming and outgoing HR mail, ensuring general written, telephone and email enquiries are responded to in an accurate and timely manner. Oversee all personnel records ensuring they are kept up to date and archived as required. Maintain confidentiality with all work undertaken. Oversee the delivery of a Disclosures Service to the membership responding to query's as and when they arise. Support the delivery of a HR Service to the membership as and when required. To participate in the office telephone rota as required. To support other administration staff where required to address organisational needs. Generate and prepare documents, letters, memos and other correspondence accurately and professionally. Take and type minutes from meetings as required. Carry out filing, photocopying and general HR administration on a timely basis. Carry out any other duties falling reasonably within the competence and capability of the post holder.
