Salary: £48K - £55K STE

Reporting to CEO

Hours: 9am - 5pm, Monday to Friday

Location: Office based (with some flexibility depending on the candidate’s circumstances and business needs)

We are seeking a highly organised and commercially aware Operations & Executive Support Manager to support senior leadership in a fast-paced financial and corporate environment. This is not a traditional PA role. The successful candidate will act as a central operational coordinator across multiple workstreams, helping keep projects, stakeholders, advisers, suppliers and internal teams aligned and moving forward. The role requires someone who is proactive, detail-oriented and comfortable managing competing priorities, confidential information and operational tasks with minimal supervision.

Key Responsibilities

  • Executive & Operational Coordination:
    • Manage and coordinate day-to-day operational priorities for senior leadership.
    • Track actions arising from emails, meetings and calls and ensure timely follow-up.
    • Maintain structured task management systems and operational trackers.
    • Organise and prioritise workloads across multiple active projects.
    • Conduct regular operational check-ins with senior management to maintain momentum across key initiatives.
  • Stakeholder & Project Management:
    • Act as a first point of contact for external advisers, suppliers and business partners.
    • Coordinate communications and document requests between internal and external stakeholders.
    • Manage project timelines and ensure deliverables are progressed and completed.
    • Support senior management with preparation for meetings, board discussions and strategic projects.
  • Legal & Commercial Administration:
    • Support legal and commercial workstreams through document collation and administration.
    • Coordinate external legal correspondence and document requests.
    • Assist with property, lease, supplier and corporate administration matters.
    • Track approvals, signatures and outstanding actions.
  • Finance & Operational Support:
    • Liaise with insurers, brokers and service providers regarding operational documentation and renewals.
    • Support administrative processes linked to company operations and projects.
  • Team & Office Coordination:
    • Support onboarding and operational setup for new staff where required.
    • Help maintain internal operational procedures and shared resources.
    • Assist with coordination across departments to improve communication and efficiency.
    • Provide ad hoc operational support across the business as priorities evolve.

Essential Requirements

  • Previous experience in operations, executive support, project coordination or business support within a professional services or commercial environment.
  • Exceptional organisational and follow-up skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities simultaneously.
  • High attention to detail and strong document-management capability.
  • Strong proficiency in Google Workspace and/or spreadsheets and shared-drive environments.
  • Ability to work independently and proactively solve problems.
