OPERATIONS COORDINATOR – LONDON – 12 MONTH FIXED TERM CONTRACT

Role Responsibilities
We are looking for a motivated and experienced Operations Coordinator to support driving operational excellence through continuous improvement initiatives and best practices to drive efficiency across the business. The role reports to the Head of Business Operations and will support the evolution of business operations, planning, review and development of operational processes and automation to improve efficiency, and help the team stay on task. The Operations Coordinator will work with cross‑functional departments to identify challenges, propose solutions, and implement change, while also supporting the Head of Health, Safety & CSR administratively to drive compliance.
- Develop and implement operational procedures that improve efficiency and effectiveness across the business.
- Work closely with cross‑functional departments to identify operational challenges and support the implementation of effective change management.
- Drive harmonisation of processes across departments by reviewing, evolving, and creating new operational processes.
- Maintain and develop automated workflows between applications and services within the O365 suite, providing technical administrative support and escalating complex issues when necessary.
- Support effective change management for new systems and applications within the business.
- Ensure the QA Officer is kept up to date on procedures and that system/process audits are conducted regularly.
- Monitor and analyse data metrics, prepare reports to identify trends, improvement areas, and corrective actions.
- Participate in operational committees and working groups to capture and drive completion of actions across departments.
- Organise and maintain the company’s SharePoint site, ensuring departments keep areas up to date and providing technical support as required.
- Coordinate and organise internal training to equip teams with the necessary knowledge and tools.
- Develop and maintain relationships with key stakeholders and maintain effective communication.
- Maintain accurate records, prepare reporting, and provide administrative support to the operations team.
- Monitor and administratively support health and safety projects and compliance actions.
- Monitor and act on health, safety and crisis management activities.
- Coordinate health and safety meetings and drive completion of actions.
Role Requirements
- At least 5 years’ experience in a similar role focused on business operations and management.
- Qualification in Business or Operations Management/Administration or related field – desirable but not essential.
- Experience with project management administration.
- Exceptional computer skills with a keenness to learn more.
- Advanced level of Microsoft 365 Suite applications.
- Advanced Excel with complex formula logic.
- Advanced PowerPoint skills and flair for transforming data into engaging visual material.
- Experience applying automation using tools such as Power Automate.
- Experience in SharePoint development.
- CRM Systems experience (e.g., Salesforce) desirable but not essential.
- Process‑driven mindset for driving improvements across the business with a consistent approach against policy and an understanding of quality management systems.
- Strong analytical and problem‑solving skills with a proactive approach to process improvements.
- Project management administrative skills.
- Motivated individual capable of managing multiple tasks/projects, prioritising effectively, and meeting deadlines in a fast‑paced environment.
- Excellent written and verbal communication and interpersonal skills, high organisation and attention to detail.
- Ability to work collaboratively with cross‑functional teams, independently with minimal supervision, and in a team environment.
- Knowledge of best practices for operations management beneficial.
- Knowledge of health and safety and environmental sustainability requirements beneficial.
- Background in consulting or construction preferred.
- Good understanding of international working and business operations of a global consultancy.
