We are looking for an experienced Hospitality Executive to be responsible for delivering exceptional hospitality experiences for our Visa Cash App Racing Bulls (VCARB) partners and VIP guests across the Formula One Paddock Club race calendar. Reporting to the Hospitality Manager, the Hospitality Executive is primarily office-based, focusing on event planning, guest management, logistics and operational delivery, with trackside attendance required at selected Grands Prix.
In addition to supporting the day-to-day hospitality programme, the Hospitality Executive will lead and develop our guest communication strategy, enhance the customer journey, and explore new creative initiatives and projects to elevate our trackside hospitality offering. Success in this role requires excellent organisational skills, strong attention to detail, creativity, commercial awareness and a passion for delivering premium guest experiences. Previous experience in event planning, hospitality or guest experience is highly desirable.
Job Description- Take ownership of the day-to-day hospitality administration, ensuring all guest information, documentation and event plans are accurate and up to date.
- Assist the Hospitality Manager with day-to-day administrative tasks and hospitality enquiries.
- Support the management of communications regarding VCARB tickets and guest portfolios, helping to keep partners informed.
- Aid in organising race hospitality events, including ticketing, guest list management, and scheduling, under the guidance of the Hospitality Manager.
- Maintain accurate guest databases, including dietary requirements, travel details, accreditation information and partner allocations.
- Help with the receipt, logging, packing, and dispatch of event tickets, merchandise, and gift packs.
- Work alongside the Operations Manager to assist in coordinating trackside logistics such as garage tours, Paddock Club schedules, and guest lunches/dinners.
- Support the monitoring of merchandise stock levels and assist with freight and inventory management to ensure an accurate and timely delivery to race locations.
- Prepare detailed event documentation, guest itineraries, briefing packs and internal schedules to support seamless event delivery.
- Ensure all hospitality administration is completed accurately and within agreed deadlines, maintaining the highest standards of organisation and presentation.
- Produce post-event reporting to ensure processes are consistently reviewed, opportunities are maximized and KPI’s are met.
- Provide timely and professional communication with partners and guests before and after events, ensuring all hospitality requirements are managed efficiently.
- Welcome and assist guests and partners upon arrival, providing personalised support throughout their visit.
- Build and maintain strong relationships with guests, partners and suppliers to enhance satisfaction and engagement.
- Support trackside experiences, including garage tours, driver and team personnel interviews (upon request), and pit-links, ensuring every guest has a memorable experience.
- Always deliver 100% effort in every interaction, embodying the team’s standards of excellence and professionalism.
- Collaborate with the Oracle Red Bull Racing Events & Hospitality teams to ensure seamless execution of hospitality initiatives.
- Assist with the setup and breakdown of the Paddock Club, ensuring the VCARB brand and identity is protected and well presented and assets are showcased.
- Work across the wider marketing department to ensure Hospitality opportunities are maximised.
- Attend selected Formula One races as required to support event delivery, with the primary focus of the role remaining office-based planning and administration.

Qualifications- 2+ years of hospitality experience, ideally within motorsport or high-end events.
- Proven ability to deliver exceptional customer service.
- Comfortable in fast-paced, commercial environments and collaborating with wider marketing or operational teams.
- Knowledge or personal interest in sport/motorsport is advantageous.
- Strong commercial acumen and ability to support strategic sales and hospitality initiatives.
- Flexibility to work weekends, evenings, and holidays in line with the F1 schedule.
- Excellent verbal and non-verbal communication skills with diverse audiences.
- Professional appearance and conduct at all times.
- Strong organizational and multitasking skills, with attention to detail in service delivery and presentation.
- Ability to remain calm under pressure while handling guest requests.
- Proficiency in English; additional languages are a plus.
