We’re looking for an Accounts Assistant for a 12 Month fixed term contract who will support and manage essential financial processes like expenses, treasury, and receivables, while leading a team through guidance, workload management, and performance coaching.
Purpose:
- To support the Sales Ledger Accounts Assistant with all elements of the sales ledger function.
- To support the Accounts Assistant – Cash & Expenses with all cash, prepaid cards, expenses & reconciliations.
Accountabilities:
- To support the team in the accurate preparation and issuing of cash advances and prepaid cards to employees, ensuring it is counted in and out with employees.
- Ensure cash and prepaid card balances are second checked by another team member in a timely manner.
- To support the team in prepaid card reconciliations & respective employee vendor reconciliations across systems.
- To ensure accurate processing of expenses trackers & expenses approvals.
- To provide the business users with regular statements; to chase outstanding expenses; to escalate outstanding expenses which are older than 6 weeks to the Group Finance Manager - Accounts Receivable, Treasury & Expenses.
- To support with the monitoring of the multiple Group mailboxes; actioning queries & escalating where appropriate.
- To support with the reconciliation of all petty cash.
- Reconcile and produce monthly reports for all cash reconciliations and the employee vendor ledger, to include Aged Creditor analysis to be reviewed by the Group Finance Manager - Accounts Receivable, Treasury & Expenses.
- To support the accurate coding and checking of corporate card expenses, ensuring they adhere to Financial Guidelines.
- To ensure all corporate cards are processed and approved by Finance within 6 weeks or escalate.
- To support with the processing of corporate card journals that are uploaded and reviewed by the Group Finance Manager - Accounts Receivable, Treasury & Expenses in a timely manner and any issues escalated promptly.
- Arrange to pay Race, Test, RSC and RBAT Event FCOs as per Race Office / Marketing itineraries & carry out post event checks to ensure accuracy & make any necessary adjustments.
- To support in raising sales ledger invoices, resolving queries & escalating issues promptly for quick resolution.
- To provide absence cover for the Treasury Assistant role to ensure the timely processing of bank postings.
- To support across the team to provide & collate planning data needed for LIFC submissions across all entities & across all bank accounts.
- To support the team with departmental reviews; plan versus actuals commentary & escalations.
- To provide interim and year-end audit data as required.
- General filing & ad hoc duties as required.
Essential attributes for success:
- Proven experience in an Accounts assistant role or similar.
- Proficient in Excel and accounting systems (SAP/Oracle), with knowledge of expense management tools, cash management, and AR processes.
- Clear, professional, and confident communicator across different audiences.
