A unique opportunity for a wonderfully cultured international bank is seeking a highly capable and discreet Personal Assistant to provide executive-level support to its London-based CEO and Investment Banking Division (IBD). This is a 12-month maternity cover role based in a prestigious City location, offering the opportunity to work at the heart of a fast-paced, high-performing environment. It is a fabulous team that has a very professional approach that has no hierarchy.

This position requires a proactive, solutions-driven individual who can operate as a trusted partner to senior leadership, optimising time, managing competing priorities and ensuring seamless day-to-day operations. You do not have to come from a senior EA 1:1 CEO role.

The IBD and CEO are very self-sufficient but need someone to keep everything actioned and streamlined. You will act as the central coordination point for the CEO’s office, providing comprehensive and confidential support across a broad range of responsibilities. This includes complex diary management, stakeholder coordination, international travel planning and full administrative support to the CEO and wider IBD team.

Managing a dynamic and ever-changing schedule, you will prioritise effectively, anticipate conflicts and ensure all meetings and commitments are supported with the necessary preparation and documentation. You will coordinate both virtual and in-person meetings, ensuring all logistics, materials and technology are in place to enable smooth execution. You will also play a key role in communication and administration, handling correspondence, preparing high-quality presentations and supporting internal events such as town halls and senior stakeholder engagements.

Key Responsibilities
  • Extensive and proactive diary management across multiple time zones
  • Coordination of meetings, including hybrid set-ups and materials preparation
  • End-to-end management of complex international travel, including visas and itineraries
  • Preparation and quality control of presentations and executive documents
  • Processing expenses, invoices and budget tracking in line with company policies
  • Supporting governance processes, including documentation and approvals
  • Organising internal and external events, ensuring high standards of delivery
  • Acting as a key liaison with internal teams and external partners
About You

You will have at least 3–5 years’ experience supporting senior executives, ideally within financial services or a similarly fast-paced corporate environment. You are highly organised, detail-oriented and able to manage multiple priorities with efficiency and professionalism. You are confident working with senior stakeholders, both internally and externally, and possess excellent communication skills. You demonstrate sound judgement, discretion and integrity when handling sensitive information. A strong technical skillset is essential, including advanced proficiency in Microsoft Outlook, PowerPoint, Excel and Teams. You are also comfortable adopting new technologies and tools to enhance productivity.
