The position is to support a team of four within a busy client driven organisation where you will provide high quality administrative support, operations and logistical duties to the team and broader office to ensure the smooth running of operations.

Main duties:

  • Coordinating travel arrangements both domestic and international and preparing itineraries.
  • Oversee meeting coordination – scheduling, calendar management, booking rooms and off-sites, and ensuring all logistics are in place.
  • Update CRM system and keeping all records updated.
  • Organising and tracking of business development activities.
  • Manage catering for meetings.
  • Process receipts and expenses, accurate coding and compliance.
  • Assist with full guest experience – meeting and greeting visitors, set up and re-set meeting rooms.
  • Help maintain the smooth running of the office, restocking supplies and keeping neat and tidy.

The ideal candidate:

  • At least three years previous experience providing support to a team.
  • Able to handle complex diaries and travel logistics and providing a seamless service.
  • Able to work in a fast-paced environment, hands-on and able to deal with shifting priorities.
  • Personable and professional with excellent communication skills at all levels.
  • Interested in AI and learning the tools to enhance efficiency and effective workflows.
  • Maintain discretion and handle highly confidential information.
  • Excellent IT skills, able to pick up systems and process quickly.
  • High level of attention to detail and able to work well under pressure and to deadlines.
