My client, a highly regarded and well-established regional law firm, is seeking a proactive and self-motivated Department Assistant to join their busy Private Client team based in Cobham. This is an excellent opportunity for an experienced Legal Secretary or Department Assistant looking to become an integral part of a supportive and professional environment. The successful candidate will play a key role in ensuring the smooth running of the department through high-quality administrative and client-focused support.

The Role:

  • Working closely with colleagues across the Private Client department, you will provide comprehensive administrative assistance, including:
  • Preparing accurate correspondence and legal documents using audio and copy typing
  • Providing professional, friendly client support in person, by telephone, and via email
  • Managing diaries efficiently and coordinating appointments
  • Liaising with the Business Support Team for file opening and closure in line with SRA and Law Society requirements
  • Photocopying, post distribution, and general office support
  • Preparing meeting rooms and refreshments where required
  • Assisting and supporting other Department Assistants across the firm when needed
  • Maintaining strict confidentiality at all times
  • Undertaking any other reasonable duties as required by Partners
  • Engaging in ongoing training and personal development

About You:

  • Previous experience as a Legal Secretary or Department Assistant within a law firm
  • Strong organisational and administrative skills with excellent attention to detail
  • Confident communication skills, both written and verbal
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • The ability to multitask, prioritise effectively, and work well under pressure
  • A professional, discreet, and client-focused approach
  • A positive attitude and strong team ethic
