Our client is looking for a highly organised, enthusiastic and people-focused Department Administration and Events Officer to join their team. This is an exciting opportunity for someone who enjoys combining excellent administrative skills with community engagement and event support.
Working closely with the CEO and service managers, you will coordinate the administration of their volunteer programme, support the recruitment and development of volunteers, and help organise events that promote their work within the local community.
About the Role
This varied role combines administration, volunteer coordination and event support, ensuring the smooth running of our volunteer programme while helping to raise awareness of our work through community engagement. Your responsibilities will include:
- Coordinating the recruitment, induction and onboarding of volunteers.
- Processing volunteer applications, references and DBS checks.
- Maintaining accurate volunteer records and databases, producing reports and mailing lists.
- Supporting, training and retaining volunteers through regular communication and recognition initiatives.
- Building positive relationships with service managers, volunteers, community groups, churches, colleges and local businesses.
- Producing newsletters and communications using Mailchimp and supporting social media activity.
- Creating posters and promotional materials for volunteer recruitment and events.
- Organising volunteer attendance at fundraising and promotional events.
- Supporting the development of Volunteer Ambassadors to represent the organisation within the community.
- Representing the organisation at community events, presentations and volunteer fairs.
- Advising colleagues on volunteer processes and helping to promote good practice across the organisation.
About You
We're looking for someone who is:
- Highly organised with excellent administrative and time management skills.
- A confident communicator who enjoys building relationships with people from all backgrounds.
- Experienced in administration with excellent IT skills, including Microsoft Office, databases and Mailchimp.
- Able to maintain accurate records and produce reports and statistics.
- Proactive, self-motivated and able to work independently while also contributing as part of a team.
- Comfortable representing the organisation at community events and engaging with external partners.
- Interested in promoting fundraising and community events and encouraging volunteer involvement.
- Empathetic and able to work sensitively with vulnerable, disadvantaged or socially excluded people.
- Supportive of the organisation's Christian values and ethos.
Ideally, you will also have:
- Experience of working with or supervising volunteers.
- Experience in recruitment, customer service or community engagement.
- An understanding of volunteer management and best practice.
