We are looking for an organised, proactive and personable Administration Assistant to support key figures and community engagement. This is an exciting opportunity for someone who enjoys working in a varied role that combines office administration with involvement in community and civic events.
About the Role
You will play a key role in supporting key colleagues and helping ensure the smooth running of communications and events. The role involves diary management, event coordination, public enquiries and supporting media presence.
Key Responsibilities
- Manage a diary, engagements and appointments.
- Help plan and attend engagements and charity events, supporting and ensuring events run smoothly.
- Liaise with venues, partners and community organisations to coordinate activities.
- Assist with fundraising activities, including organising raffle prizes and managing ticket sales.
- Provide post-event summaries including attendance and funds raised.
- Prepare for and attend bi-weekly briefing meetings.
- Maintain a resident communications log, liaising with external partners such as local authorities, wardens and contractors to help resolve enquiries and complaints.
- Handle incoming correspondence and bring relevant matters to the attention of officers.
- Assist with the production of communications and publications.
- Respond to enquiries from residents via phone, email and in person.
- Provide general office support including filing, post and administrative tasks.
About You
We are looking for someone who is organised, reliable and able to manage multiple tasks effectively. You will ideally have:
- GCSEs (or equivalent) including English and Maths.
- Good IT skills including Microsoft Outlook, Word and Excel.
- Excellent written and verbal communication skills.
- Strong organisational and diary management abilities.
- The ability to prioritise work and meet deadlines.
- Confidence dealing with the public, councillors and partner organisations.
- A calm, patient and professional approach.
Experience organising events or working within a local authority environment would be advantageous but is not essential.
