Crystalight Ltd is a fast-moving property investment and residential development business supporting multiple planning and development projects. The role works closely with the Executive Assistant and Director and assists in coordinating administration across residential planning applications, property development and property construction and a variety of related property matters. This is not a traditional corporate office role. The position is based in a small working office within the director’s home in Cheltenham and requires someone who is organised, practical, calm under pressure and able to work independently.
The Role
This role combines executive administration support with property development coordination. You will help keep projects, communications and documentation organised while supporting the Executive Assistant and Director in managing multiple property, planning and administrative matters.
Key Responsibilities
- Supporting the Executive Assistant and Director with day-to-day administration and organisation
- Managing emails, drafting correspondence and responding professionally where appropriate
- Coordinating documentation for residential planning and development projects
- Organising and maintaining structured digital filing systems for property records and development projects
- Preparing and updating Excel spreadsheets used for project tracking and administration
- Coordinating information between consultants, planners, contractors and development projects
- Tracking tasks, deadlines and follow-ups across multiple property developments
- Preparing documents, reports and project information when required
- Assisting with diary coordination, appointments and meeting arrangements for the Director
- Assisting with travel arrangements, bookings and general administrative coordination
- Supporting occasional personal administrative tasks for the Director where required
- Helping ensure property and project information is organised, accessible and up to date
- Assisting the Executive Assistant with ensuring the office runs smoothly day-to-day
Working Environment
We operate from a small office based in the director’s home in Cheltenham. The team is small and collaborative, and everyone takes responsibility for keeping the workspace organised and professional. This includes basic office organisation such as keeping the workspace tidy, clearing kitchen items used during the day and assisting with simple office housekeeping such as bins and recycling. This role suits someone who is practical, organised and comfortable working in a small team environment.
About You
You are likely someone who is calm and organised under pressure, enjoys keeping information structured and organised and is comfortable working at pace. You are confident using Outlook, SharePoint and Excel, able to prioritise tasks independently and comfortable receiving direct instructions from senior staff. You are practical, reliable and able to take ownership of tasks to ensure they are completed properly. Experience in residential property administration, estate agency, construction, planning consultancy or property professional services administration would be beneficial.
Salary £30,000 – £35,000 depending on experience.
